Position Summary
As our Office Manager, you will be the backbone of our daily operations. You'll oversee office administration, payroll, scheduling, customer service, accounts receivable, and sales support while continuously improving our office systems and processes.
The ideal candidate is proactive, detail-oriented, and comfortable wearing multiple hats. You won't wait to be told what to do—you'll identify opportunities, solve problems, and keep the office running efficiently.
Responsibilities
Process bi-weekly payroll and certified payroll accurately and on time
Manage employee timecards and payroll documentation
Coordinate schedules for crews, projects, and appointments
Answer phones and provide exceptional customer service
Confidently make outbound calls to customers, vendors, and clients
Support sales by following up on leads, preparing proposals, and assisting customers
Manage accounts receivable, invoicing, collections, and payment tracking
Organize office operations, filing systems, and company records
Maintain project documentation and administrative compliance
Communicate with vendors, subcontractors, customers, and field personnel
Identify inefficiencies and implement better systems and processes
Assist ownership with administrative tasks and day-to-day operations
Perform additional office and operational duties as needed
Qualifications
3+ years of office management or operations experience (construction industry preferred)
Experience processing payroll (certified payroll experience is highly preferred)
Knowledge of accounts receivable and invoicing
Strong customer service and communication skills
Comfortable speaking with customers and vendors by phone
Excellent organizational and time management skills
Strong computer skills and ability to learn new software quickly
Experience with Excel, QuickBooks, CRMS, and construction management software are a plus
Ability to multitask and prioritize in a busy, fast-paced environment
High level of professionalism, integrity, and attention to detail
