Automotive Office ClerkActon Ford - Acton, MAFull-Time | Monday-FridayPosition SummaryActon Ford is seeking a dependable, detail-oriented Automotive Office Clerk to support daily dealership accounting and administrative operations. This role is essential to processing vehicle deals, maintaining accurate financial records, and supporting service and sales operations.We operate in a team-oriented accounting office, where cross-training is part of our culture. Team members work collaboratively and support one another to ensure all office functions are completed accurately and efficiently in support of the dealership as a whole.The ideal candidate is organized, adaptable, and comfortable working in a fast-paced automotive environment.Primary ResponsibilitiesDeal Processing & Vehicle AdministrationProcess vehicle deals and funding packetsFile vehicle sales paperwork accurately and efficiently into deal jacketsPrepare and maintain trade-in vehicle jacketsFollow up on all lien payoffs to ensure timely return of titlesIssue stock numbers for new vehicle invoicesPrepare key tags, window tags, and vehicle foldersService & Warranty SupportClose repair orders accurately in the DMSScan warranty repair orders to warranty administratorsScan parts invoices and repair orders into the DMS systemAccounting & ReconciliationReconcile daily deposits and petty cashAssist with month-end reporting and schedulesSupport end-of-month accounting proceduresReview and maintain accounting schedulesAdministrative & Team SupportMaintain organized office files (physical and digital)Communicate with Sales, Service, and Parts departments to ensure accurate data entry and paperwork completionParticipate in cross-training across accounting office functionsSupport general administrative responsibilities as neededPerform additional duties as assignedQualificationsPrevious dealership experience preferredExperience with dealership management systems (CDK or similar) preferredStrong understanding of basic accounting principles (debits, credits, T-accounts, reconciliations, etc.)Ability to understand how transactions flow through the general ledgerExperience reviewing and maintaining accounting schedulesStrong attention to detail and accuracyAbility to manage multiple tasks in a collaborative team environmentProficient in Microsoft Office, Google Drive, or similar productivity platformsStrong communication and organizational skillsWork Environment
