Position Summary
William & Mary’s Judaic Studies and Medieval & Renaissance Programs invite experienced applicants for the position of Administrative and Fiscal Coordinator whose efforts will support students and faculty for both units. Under the shared supervision of the Program Directors, this position manages all administrative and financial needs to include leadership and faculty support for approximately a dozen full‐time, affiliated, or visiting faculty members. The individual selected for this role will leverage their experience with fiscal administration and daily office operations to advance the goals of these academic units in the Arts & Sciences.
Primary responsibilities include:
Director and faculty support to include administrative personnel services and course scheduling
Office management to include communications and technological support
Assisting with event planning and logistics throughout the year
Fiscal administration and management of department indexes
Facilitating processing of transactions and procurement of equipment and services
Providing dedicated fiscal and programmatic support for the Medieval and Renaissance program’s growing cross-campus student research community, including processing of awards and other student payments, scheduling rooms/venues for events and facilitating processing of vendor payments
Recruitment and supervision of student assistants; ensuring timesheets are completed and approved in a timely manner.
Liaising with multiple units on campus such as Accounts Payable, Dean of Arts & Sciences Office, Human Resources, Procurement, Student Financial Aid, and the Office of Sponsored Programs
Interpreting new directives, policies, and procedures and communicating changes to appropriate staff.
Conditions of Employment
Occasional evening and weekend work required, i.e., during open house, commencement, homecoming, special events, etc.
This is a non-exempt position, eligible to receive overtime in accordance with the Fair Labor Standards Act. This position may be subject to overtime during high peak times, etc. as directed and approved by the supervisors.

Required Qualifications
High school diploma or equivalent
Working knowledge of general office practices and procedures including customer-service techniques
Working knowledge of basic accounting principles and fiscal administration including tracking and projecting expenditures
Working knowledge of procurement and purchasing policies and procedures
Demonstrated proficiency in computer skills including Internet browsers and Microsoft Office: Word, Excel, and Outlook
Familiar with website technology platforms, i.e., Cascade, Blackboard, group calendars, listservs, etc.
Ability to learn and work effectively with productivity systems and applications including for procurement, travel, and fiscal administration (e.g. Banner, Qlik, Work Day, buyW&M, Chrome River)
Demonstrated communication and interpersonal skills to interact professionally with a diverse population of faculty and students
Preferred Qualifications
Experience working in a higher education environment
Prior fiscal administration experience
Experience with course scheduling
Experience with automated operational/business systems (e.g., Banner, Qlik, Work Day, buyW&M, Chrome River)
Working knowledge of personnel processes for instructional faculty (i.e., promotion, tenure review, merit, etc.)
