Workforce Training Coordinator

Position Overview The Workforce Development Training Coordinator is responsible for supporting the recruitment, assessment, and long-term success of participants in Workforce Development programs. This role serves as the primary point of contact for participants throughout their program journey from intake through training, job placement, and early employment. The Training Coordinator provides case management, coaching, and data tracking to ensure participant success and program effectiveness. This position plays a key role in monitoring outcomes, identifying trends, and supporting continuous improvement of Workforce Development programs. Core Responsibilities Participant Recruitment and Intake Manage the application process across online, walk-in, and telephone channels, including interview scheduling and initial screening. Conduct participant interviews and assess eligibility for workforce training programs. Evaluate candidates and provide recommendations for selection in collaboration with Workforce Development leadership. Identify potential barriers to participation and coordinate with the Workforce Development Support Services Coordinator to develop appropriate support plans. Case Management and Participant Support Develop and maintain comprehensive case files for participants from intake through training, job placement, and early employment. Provide ongoing coaching and support to participants during training and post-graduation. Serve as a consistent point of contact to promote accountability, engagement, and successful program completion. Conduct regular follow-up, including monthly employment check-ins, to track placement, retention, and wage outcomes. Data Tracking and Program Reporting Maintain accurate and up-to-date participant and program data within the CRM system. Monitor program metrics and progress toward established performance goals. Prepare monthly and ad hoc reports on enrollment, completion, placement, and retention outcomes. Analyze participant data and outcome trends to identify strengths, challenges, and opportunities for improvement. Support the Workforce Development Director in preparing reports that communicate program performance, risks, and opportunities. Program Improvement and Coordination Make data-informed recommendations to improve program design, processes, and participant outcomes. Identify workflow gaps or inefficiencies and propose practical solutions. Collaborate with Workforce Development staff to ensure alignment between participant progress, support services, and program goals. Build and maintain relationships with employers, agencies, and community partners that support participant success and job placement. Coordinate with internal departments, including Development and Communications, to share program updates, outcomes, and impact data. Support program evaluation, benchmarking, and grant reporting activities as needed. Knowledge, Skills, and Abilities Strong case management and participant coaching skills. Effective interviewing and assessment capabilities. Strong organizational and administrative skills, with the ability to manage multiple participants and priorities. Advanced proficiency in Microsoft Excel for data tracking, reporting, and analysis. Proficiency in Microsoft Office and CRM/database systems. Data-driven mindset with strong attention to detail and accuracy. Strong analytical, problem-solving, and critical-thinking skills. Excellent written and verbal communication skills. Ability to build rapport and work effectively with individuals from diverse backgrounds. Professional, compassionate, and participant-centered approach. Ability to work collaboratively in a team-oriented, cross-functional environment. Education and Experience Bachelor’s degree in Human Services, Education, Workforce Development, or a related field; equivalent experience considered. Minimum of 1–3 years of experience in workforce development, adult education, case management, or participant support. Experience working with underserved or barriered populations preferred. Experience with CRM systems, data tracking, and outcome reporting preferred. Experience in nonprofit, community-based, or human services environments preferred. Experience supporting program improvement, reporting, or evaluation initiatives preferred. Bilingual or multilingual skills relevant to the community served are a plus.
