Controls Specialist
Position Overview:PROCEDEO Group is seeking a Controls Specialist to support our client in Elgin, Texas. This in-office role is responsible for managing project financials for construction and design teams, including monitoring budgets, tracking expenditures, reviewing invoices and change orders, and ensuring accurate cost reporting. The Controls Specialist collaborates with project teams and stakeholders to maintain financial transparency, ensure compliance with contract requirements, and keep project financials aligned with budgets and timelines.Key Responsibilities:Perform detailed final reviews and approvals of contractor pay applications prior to submission for payment processing. Review and approve contractor change orders, general contractor (GC) allowances, buyout savings, CMAR GMP submissions, and contingency authorizations before submission. Conduct final review and approval of architect and third-party vendor invoices prior to processing. Assist project teams with reviewing, processing, researching, and paying construction-related invoices in a timely manner. Address and resolve inquiries from vendors, architects, owners, and internal staff regarding invoices and payments. Review monthly cost report requirements and ensure all required information is submitted by the 7th of each month. Supervise the Program Coordinator, as needed. Support training and cross-training of the Controls team on third-party contracts, closeouts, and invoice processes. Receive, process, and verify construction services invoices in accordance with approved authorizations. Validate invoice details within the accounting system and resolve discrepancies as needed. Maintain organized digital accounts payable filing systems. Oversee tracking and submission of monthly custodial overtime forms for applicable projects. Reconcile contingency and allowance expenditures (CAEAs, AERAs, CCAEAs) against invoices to ensure proper allocation and payment. Manage project budgets and budget changes within Procore. Coordinate invoice signature workflows through DocuSign via Procore. Review construction contracts to ensure compliance with invoicing and payment requirements. Maintain detailed tracking of all construction invoices from receipt through payment distribution. Support financial and operational closeouts, ensuring timely and accurate completion. Prepare and submit budget transfer forms as required. Assist with internal and external audits, as well as open records requests. Support financial reporting activities as needed. Provide excellent customer service to staff, vendors, contractors, owners, and stakeholders. Respond promptly to inquiries related to accounts payable and construction services. Uphold and adhere to ethical business practices. Perform additional duties as assigned.Qualifications:Bachelor’s degree in Accounting, Finance, Construction Management, or a related field (or equivalent work experience). 3+ years of experience in cost controls, accounts payable, or construction project accounting. Proficiency in project management and financial software such as Procore, DocuSign, and accounting systems; experience with Egnyte is a plus. Strong attention to detail with the ability to review, analyze, and reconcile complex financial documents and invoices.
