Executive Assistant
A venture-backed biotechnology company is looking for an Executive Assistant to provide high-level administrative and operational support to the CEO. This role requires strong organizational skills, sound judgment, and the ability to manage multiple priorities in a fast-paced environment. The Executive Assistant will serve as a key point of coordination across internal and external stakeholders while ensuring the CEOs time and priorities are managed effectively.
Key Responsibilities:
Manage and maintain the CEOs calendar, including scheduling meetings across multiple time zones and prioritizing competing demands
Coordinate internal and external meetings, including preparation of agendas, materials, and follow-up items
Serve as a point of contact between the CEO and internal teams, board members, investors, and external partners
Screen and manage incoming communications, including email and other correspondence
Arrange domestic and international travel, including detailed itineraries and contingency planning
Prepare reports, presentations, and briefing materials for meetings and business activities
Track key action items and ensure timely follow-up on outstanding matters
Support planning and execution of company events, meetings, and offsites
Handle confidential and sensitive information with a high level of discretion
Provide limited personal administrative support as needed
Qualifications:
10+ years of administrative experience, with at least 5 years supporting a C-level executive
Experience working in a fast-paced or high-growth environment; startup experience preferred
Strong organizational and time management skills with the ability to manage multiple priorities
Excellent written and verbal communication skills
High level of attention to detail and accuracy
Ability to exercise discretion and maintain confidentiality
Proficiency with Google Workspace, Microsoft Office, and other productivity tools
Strong problem-solving skills and ability to work independently
Flexible and adaptable to changing priorities
Compensation:
$125-155k
