We pride ourselves on building strong client relationships while creating growth opportunities for our employees.As our company continues to expand, we are seeking a highly organized, dependable, and proactive Administrative Assistant to support our operations team and help drive the continued success of the organization.Position SummaryThe Administrative Assistant – Operations Support role is a dynamic, hands-on position that supports office administration, operations coordination, employee onboarding, inventory management, client support, and day-to-day facility operations.This role requires an individual who is highly organized, detail-oriented, adaptable, and comfortable working in a fast-paced environment where priorities may shift throughout the day. The ideal candidate enjoys wearing multiple hats, solving problems, supporting teams, and growing professionally within a rapidly expanding company.This position is primarily based out of our Martinez office; however, the employee may be required to travel throughout the Bay Area during the workday to support client sites, operational needs, inspections, onboarding activities, deliveries, meetings, and company initiatives.The work schedule consists of five eight-hour shifts per week, Monday through Friday. Start and end times may vary based on operational requirements, client support needs, meetings, or scheduled company activities.This position may occasionally require overtime in accordance with California state law.Essential Job ResponsibilitiesAdministrative & Office CoordinationCoordinate meetings, schedules, and calendars for management and operations teamsAssist with preparation of reports, spreadsheets, forms, operational documents, and correspondenceOrganize and maintain office files, records, and administrative systemsSupport day-to-day office operations and communication between departmentsMaintain a clean, organized, and professional office and warehouse environmentEnsure office supplies, snacks, beverages, and breakroom inventory remain adequately stockedAssist with company event planning, employee appreciation activities, and operational meetingsInventory, Warehouse & Supply ManagementOrder janitorial consumables, PPE, cleaning chemicals, microfiber products, operational tools, and office suppliesMaintain inventory counts and monitor stock levelsOrganize warehouse inventory and operational storage areasReceive and coordinate deliveries from vendors and suppliersPrepare operational materials and supplies for field personnelDeliver consumables, uniforms, supplies, or operational materials to client sites throughout the Bay Area as neededCoordinate vendor pickups, deliveries, and inventory replenishment schedulesLaundry & Operational SupportCoordinate washing, drying, folding, and organization of:Microfiber towelsMop headsCompany uniforms and shirtsOperational cleaning materialsEnsure reusable operational materials remain clean, organized, and ready for deploymentHuman Resources & Employee SupportAssist with onboarding and orientation of new employeesSet up employees in company software systems, applications, and operational platformsCoordinate onboarding paperwork and hiring documentationProvide initial onboarding support and introductory operational trainingAssist with employee uniform distribution and inventoryCoordinate employee recognition programs, appreciation initiatives, awards, and gift cardsSupport internal communication between management and employeesClient Relations & Operations SupportSupport operations teams with scheduling, communication, and coordinationAttend client meetings and walkthroughs as neededPerform inspections and operational walkthroughs at client facilitiesAssist with quality assurance inspections and follow-up documentationHelp maintain strong client relationships through professional communication and responsivenessSupport account invoicing follow-up, billing coordination, and administrative account supportAssist with operational projects and special assignments as directed by managementQualificationsPrevious experience in administrative support, operations coordination, office management, customer service, or related fields preferredStrong organizational skills with the ability to multitask and prioritize effectivelyProfessional verbal and written communication skillsStrong attention to detail and follow-throughAbility to work independently and within a team environmentComfortable working in a fast-paced operational environmentProficiency with Microsoft Office, Google Workspace, email systems, spreadsheets, and general office technologyAbility to maintain confidentiality and professionalismPositive attitude with a willingness to learn and grow within the companyPhysical RequirementsAbility to lift, carry, push, and move boxes, supplies, inventory, and operational materialsAbility to stand, walk, bend, reach, and move throughout office, warehouse, and client site environmentsAbility to drive throughout the Bay Area as needed for company businessAbility to safely operate within office, warehouse, laboratory, manufacturing, and commercial environments while following company safety proceduresAdditional RequirementsValid California driver’s license requiredReliable transportation requiredMust maintain an acceptable driving record in accordance with company policy and insurance requirementsMust be legally authorized to work in the United StatesEmployment may be contingent upon completion of a background check, reference verification, and other lawful pre-employment requirements consistent with California lawCompensation & BenefitsCFS Site Services offers a competitive compensation and benefits package, including:$27–$32 per hour depending on experience and qualificationsHealth insuranceVision coverage401(k) savings planMonthly gas compensationEmployee discount and perks programsPaid training and development opportunitiesEmployee recognition programsTeam-building events and company appreciation activitiesCareer growth opportunities within a rapidly growing organizationWhy Join CFS Site Services?At CFS Site Services, you will become part of a growing company that values hard work, accountability, teamwork, and professional development.
