Personal/Executive Assistant
Overview
This is a 1099 contract job offer initially.
We are seeking a highly organized and proactive Personal/Executive Assistant to provide comprehensive support to our executive team. The ideal candidate will possess excellent administrative skills, be detail-oriented, and demonstrate the ability to manage multiple tasks efficiently. Duties
Manage and coordinate complex calendars using Microsoft Outlook Calendar and Google Workspace, scheduling meetings, appointments, and events with precision.
Handle phone communications with professionalism, utilizing multi-line phone systems and maintaining excellent phone etiquette.
Prepare, proofread, and transcribe documents, reports, and correspondence with accuracy.
Assist with event planning for corporate functions, meetings, and special events.
Perform bookkeeping and basic accounting tasks using QuickBooks; manage invoicing and expense tracking.
Support project coordination efforts by organizing files, tracking deadlines, and facilitating communication among team members.
Oversee office management duties including filing, data entry, front desk responsibilities, and maintaining organized office systems.
Utilize office software such as Microsoft Office Suite (Word, Excel) and DocuSign for document management and electronic signatures.
Provide executive administrative support by managing emails, preparing agendas, and ensuring timely follow-up on action items.
Deliver exceptional customer service in all interactions with clients, vendors, and internal staff.
Flexible hours (7:00 am - 5:pm - Range of potential hours on a given day)
Over the road - up to 4 hours a morning in a vehicle with the engineer/owner.
Requirements
Proven experience as a Personal or Executive Assistant with strong office management skills.
Excellent organizational skills with the ability to multitask effectively in a fast-paced environment.
Proficiency in Microsoft Office (Word, Excel), Google Workspace (Gmail, Calendar), Microsoft Outlook Calendar, and data entry tools.
Some Experience with QuickBooks for bookkeeping and basic accounting tasks.
Strong typing skills along with proofreading and transcription abilities.
Familiarity with multi-line phone systems and professional phone etiquette.
Demonstrated project coordination capabilities with attention to detail.
Office experience including filing, clerical work, front desk duties, and office management.
Ability to handle confidential information discreetly and professionally.
