You will serve as the first point of contact for patients and visitors, providing exceptional customer service and administrative support to ensure the smooth operation of the office. You are responsible for managing appointments, coordinating patient inquiries, maintaining accurate records, and assisting in various administrative tasks.What you’ll do:Oversee front desk operations of the cardiology practiceWarmly greet patients and visitors as they arriveAssist with the check-in process, verifying patient information and insurance detailsManage the appointment calendar using scheduling software, ensuring optimal time utilization and minimizing patient wait timesCoordinate appointments for new and returning patients and reschedule or cancel them when neededAnswer incoming phone calls and respond to emails in a courteous and professional mannerAddress patient inquiries, provide information about services, and assist with prescription refill requestsCollect and update patient demographic and insurance information accuratelyVerify insurance coverage and ensure necessary documentation is completeMaintain and update patient records, ensuring accuracy and confidentialityOrganize and file medical documents, test results, and correspondenceKeep the waiting area clean and organized, ensuring patients are comfortable while waitingMonitor the flow of patients in the waiting area and inform medical staff of any delays or emergenciesEnter patient information, appointments, and other relevant data into the office's electronic health records (EHR) system to maintain accurate and up to date recordsWork closely with medical staff, nurses, and other administrative personnel to ensure a seamless patient experienceMaintain patient confidentiality and adhere to privacy regulations, such as HIPAAHandle patient concerns and complaints in a professional and empathetic mannerWhat you’ll need:High school diploma or equivalent; additional education or medical office certification is a plusProven experience as a receptionist or in a customer service role, preferably in a healthcare settingFamiliarity with medical terminology and proceduresStrong interpersonal and communication skillsProficiency in using scheduling software, electronic health records (EHR) systems, and basic office software (e.g., Microsoft Office)Excellent organizational skills and attention to detailAbility to multitask and handle a fast-paced environmentEmpathetic and patient-focused approachProfessional appearance and demeanorAthena experience preferredAdditional InformationFull-time hourly range of $20-$21 per hour plus medical, dental, and vision benefits. This role will include a matching 401K, 12 days Paid Time Off, and 8 Paid Federal Holidays.Work LocationYou will work out of the Londonderry, NH office as well as the Manchester, NH office (when needed).
