Electronics Manufacturing RMA Documentation Coordinator

Job Overview The Electronics Manufacturing RMA Documentation and Customer Support Coordinator is responsible for coordinating, documenting, and tracking customer Return Material Authorization (RMA) requests from initial receipt through final closure. This is an entry-level administrative and customer-support position. It does not require an engineering or technical background. The successful candidate will be organized, comfortable using computers, attentive to details, and able to communicate professionally with customers and internal departments. Training will be provided on the company’s products, RMA procedures, ERP system, and internal processes. SALARY: NEGOTIABLE Key Responsibilities Receive and document customer RMA requests. Review submitted information and follow up with customers when required information is missing. Create and maintain RMA records in the company’s ERP system and tracking files. Assign or coordinate RMA numbers according to company procedures. Acknowledge receipt of RMA requests and provide customers with status updates. Track returned products from receipt through evaluation, repair, replacement, or final disposition. Coordinate with Quality, Engineering, Production, Warehouse, Shipping, Customer Service, and other departments. Maintain accurate information regarding RMA status, responsible department, open actions, and required completion dates. Follow up regularly with internal teams to ensure open RMAs continue moving toward completion. Prepare and update Excel reports showing open, completed, overdue, and pending RMAs. Maintain customer documents, shipping information, evaluation reports, approvals, and other RMA-related records. Notify the appropriate manager when an RMA is delayed or requires additional attention. Coordinate the return shipment of repaired or replacement products after receiving the necessary approvals. Confirm that all required documentation is complete before closing an RMA. Maintain organized electronic and physical RMA files. Support periodic reporting and review meetings by providing accurate RMA status information. Perform other administrative and customer-service duties as assigned. Required Qualifications High school diploma or equivalent; an associate degree is preferred but not required. Basic to intermediate Microsoft Excel skills. General computer proficiency, including email, Microsoft Office, and electronic document management. Ability to learn and use an ERP system. Strong written and verbal communication skills. Good organizational and follow-up skills. Strong attention to detail and accuracy. Ability to manage multiple requests and priorities. Ability to communicate professionally with customers and coworkers. Willingness to learn company products, processes, and RMA procedures. Manufacturing Industry Experience Preferred Qualifications Previous experience in customer service, administrative support, order processing, data entry, logistics, or document control. Familiarity with ERP or customer relationship management systems. Experience maintaining trackers, reports, or customer records. · Previous manufacturing or electronics experience is helpful but is not required. Proper filing and retention of supporting documents. Timely escalation of delays and unresolved issues. Reduction in RMAs that remain open because of missing documentation or follow-up.
