THE POSITION:
The Workplace Services Specialist plays a critical role in driving operational excellence within STACK’s regional office portfolio. This role requires a detail-oriented, proactive, and solutions-focused professional who will support and improve core workplace functions including vendor management, space planning, Furniture, Fixtures, and Equipment (FF&E) oversight, employee services, and process standardization. The Specialist will act as a key liaison between office sites, internal departments, and external service providers to ensure high-quality, consistent workplace operations aligned with STACK’s culture and growth objectives. Responsibilities include, but are not limited to:
Lead the day-to-day coordination and quality assurance of soft services (e.g., janitorial, food & beverage, mail, shredding) across all STACK offices in alignment with established SOPs.
Serve as primary account administrator for regional and national workplace vendors, including office supplies and breakroom services, with responsibility for tracking spend against approved budgets and monitoring service performance.
Act as central owner of the workplace ticketing system, ensuring timely resolution, trend analysis, service-level accountability and identification of opportunities for process improvement.
Maintain and analyze space utilization data and partner with People & Culture and IT on in-office seating coordination and workspace planning initiatives.
Partner with the local Denver Front Desk Coordinator to align on task execution, workload prioritization, and day-to-day operational support.
Coordinate new hire onboarding and offboarding support across locations, including workspace readiness, welcome experience coordination, and internal communications.
Support the Director of Workplace Services on capital projects, office expansions, space consolidations, and vendor RFP processes.
Own document control for Workplace Services operations, including SOPs, vendor contracts, leasing data, budget trackers, and safety protocols.
Manage Furniture, Fixtures, and Equipment (FF&E) standards across STACK offices, including inventory tracking, vendor coordination, and alignment with workplace design guidelines.
Partner with People & Culture and leadership on the planning and execution of company-sponsored office events.
