LOCATION: Phoenix, AZ or Orlando, FLJob Summary: Sales Administrator (Sales Ops/Admin) provides high-level administrative, operational, and strategic support to the Sales Leadership Team, including the National Sales Manager and President. This role acts as a trusted partner to executive leadership, ensuring priorities are aligned, communications are streamlined, and key initiatives are executed with precision.This individual serves as a central point of coordination across leadership, sales, and cross-functional teams - driving organization, accountability, and follow-through. The ideal candidate is proactive, highly organized, detail-oriented, and exercises a high level of discretion while managing competing priorities in a fast-paced environment.Key Responsibilities:Executive & Leadership SupportProvide direct administrative and operational support to executive leadership, acting as a trusted liaison across internal teams and external partnersManage complex calendars, scheduling, and prioritization of meetings across multiple stakeholdersPrepare leadership for meetings by organizing agendas, materials, and key discussion pointsAttend executive meetings to capture decisions, action items, and key takeaways; distribute clear and concise recapsTrack and manage action items to ensure accountability and timely follow-up across teamsSales & Business Operations SupportSupport sales leadership initiatives through project coordination, reporting, and administrative executionAssist in managing recurring sales operations processes such as forecasting, corporate account expansion tracking, and internal sales callsOrganize, develop, and maintain sales reports, dashboards, and presentations for leadership, board meetings, and external partnersPartner with leadership to ensure alignment and execution of key sales priorities and deliverablesMeeting & Event CoordinationCoordinate and execute logistics for executive-level meetings, board meetings, and sales-related eventsPrepare boardrooms and conference spaces, including materials, presentations, and technology setupManage end-to-end meeting logistics including scheduling, vendor coordination, catering, and on-site executionEnsure meetings are structured, efficient, and aligned with leadership objectivesProject Management & Strategic InitiativesOwn and execute special projects assigned by executive leadership, including planning, coordination, documentation, and deliveryServe as a central coordinator for cross-functional initiatives, ensuring timelines and deliverables are metIdentify and implement process improvements to enhance operational efficiency, communication, and meeting effectivenessAdministrative ExcellenceMaintain organized records of leadership documentation, meeting notes, and strategic materialsProvide day-to-day administrative and “catch-all” support, including handling time-sensitive and ad hoc requestsHandle confidential and sensitive information with professionalism and discretionAnticipate executive needs and proactively address priorities with minimal directionQualifications:Proven experience as an Executive Assistant, Executive Administrator, or similar role supporting senior leadershipExperience supporting C-suite executives (CEO, President, COO, or equivalent)Strong experience coordinating high-level meetings, board interactions, and cross-functional initiativesDemonstrated ability to manage calendars, prepare agendas, track action items, and drive follow-throughExperience creating executive-level presentations and reports (PowerPoint, Excel, etc.)Exceptional organizational, time management, and prioritization skillsStrong written and verbal communication skillsAbility to work independently, anticipate needs, and operate with a high level of ownershipHigh level of professionalism, discretion, and attention to detailProficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint) and/or Google WorkspaceBenefits:MedicalDentalVisionFlexible Spending Account (FSA)Life InsuranceRoth or traditional 401(k)NexGenEAP Wellness ProgramPersonal Time Off (vacation)The above is intended to describe the general content of and requirements for the performance of this job. It is not to be construed as an exhaustive statement of duties, responsibilities, or physical requirements. Nothing in this job description restricts management’s right to assign or reassign duties and responsibilities to this job at any time.
