Principal's SecretaryQualifications: High school diploma, computer skills including proficiency with Google docs and sheets. Must be able to multi-task in a fast paced environment. Good human relations skills a must with ability to keep information confidential. General working knowledge of office machines. Ability to speak Spanish a plus but not required.Reports To: PrincipalEvaluated By: PrincipalLength of Contract: 247 days, 7.5 hours per dayResponsibilities: Serve as Principal's SecretaryPrincipal's Secretary Will Be Responsible For The FollowingDAILYGreet visitors to the Principal's and Assistant Principals' offices and direct as needed.Provide secretarial support to the Principal or Assistant Principals as directed.Make phone calls as directed by Principal on his/her behalf.Schedule and post appointments for Principal in calendar as requested.Work closely with Principal on staff meeting rooms and set ups.Reconcile staff absence reports. Work closely Frontline rep at Central Office.Work closely with all office personnel to keep the front office functioning smoothly and help out where needed. Back up for Receptionist/AP Administrative Assistant and Information Desk, as needed.Contact with facilities, food services, custodial staff - directing calls and building info as needed.As position is year round, back up to office staff with Calendar, School Dude, Work Permits, Frontline, and Expulsions.BI-WEEKLYCollect signed time sheets from non-certified employees, reconcile their absences in Frontline, and review for any errors that need correcting and obtain Principal signature. Scan time sheets to Payroll Department.Reconcile staff absences in Frontline each pay period.Obtain Principal signature on signed certified staff wage sheets. Scan to Payroll Department.QUARTERLYCreate and maintain the trimester schedule of classes for teachers and subs. Update information on the schedule as needed.Order and maintain office supplies for office staff as needed. Work closely with the Treasurer.Order and maintain building supplies for office staff.ANNUALLYWork with Principal on Graduation Ceremony - assist with details and planning.Prepare all beginning of year information/forms for faculty/staff. Compile in a Faculty Folder.Work with Principal and Assistant Principals to help staff through beginning of the year process.Create and maintain staff directory with addresses and emergency contact information.Create staff list at the beginning of school year with room numbers, phone extensions, departments, and update and distribute as needed throughout the school year to staff.Coordinate with the Principal and Assistant Principals the schedule of events for the school calendar and also supply this information to Central Office for the Corporate calendar.Work with the Principal in coordinating any special events that occur in the building.Work with Principal to coordinate Back To School/Meet the Teacher night.Work with representatives from school picture company to schedule dates to take school pictures.Work with representatives for Senior caps and gowns and graduation product.Organize faculty caps and gowns for graduation and order as needed.Perform any other duties assigned by the Principal or Assistant Principals.AS NEEDED Greet substitute teachers and complete required paperwork for their assignment. Work closely with them to be sure that all classes are covered every period of the day - Frontline.Complete work permits for students - Labor Laws.Update the Westfield High School calendar of events - SchoolDude.
