This role ensures every install team has what they need, customers stay informed, and projects move efficiently from permit to final invoice. What You'll DoProject CoordinationProcess sold HVAC installation jobs and prepare them for scheduling Verify equipment, materials, and scope align with proposal details Coordinate with Sales, Install Managers, and Purchasing to ensure job readiness Confirm equipment availability and delivery timing Track project status from sale through completion Ensure install packets are complete and accurate prior to job start Documentation & ComplianceSubmit permit applications and track approval status in applicable jurisdictions Maintain accurate job files in company systems Customer CommunicationProvide clear expectations for install timelines and next steps Confirm pre-install requirements are completed Communicate updates and resolve logistical issues quickly and professionally Operational SupportCoordinate job scheduling adjustments as needed Identify potential job delays or issues proactively Maintain clear communication between departments Support continuous improvement of installation workflows Assist with backlog management and job prioritization What Success Looks LikeInstall teams arrive fully prepared with the correct equipment, materials, and documentation Customers feel informed, confident, and prepared for installation day Jobs move efficiently from sale to completion Documentation is accurate, complete, and audit-ready Scheduling disruptions are minimized through proactive coordination Install capacity is maximized through effective planning QualificationsRequired2+ years of experience in HVAC administrative, coordination, or operations role Strong organizational and time management skills Excellent written and verbal communication skills High attention to detail and accuracy Ability to manage multiple projects simultaneously Proficiency in CRM or job management software Comfortable working in a fast-paced service environment PreferredFamiliarity with permits in Northern Virginia jurisdictions Experience coordinating field teams Knowledge of equipment ordering and vendor coordination Experience with scheduling or dispatch environments CARE Values in ActionCuriosity You ask questions and anticipate needs before problems arise.
