It’s our Endeavor.Endeavor is seeking a Property Assistant to support a commercial property portfolio that includes both existing and new office products. The Property Assistant will support the properties and team in accordance with company policies, procedures, and standards. This is a non-exempt position.This position supports a property team through administrative, basic accounting, operations, and customer service functions. It is an entry level position and represents an excellent opportunity to get started on the rich and fulfilling lifelong career path available within commercial property management.TYPICAL AREAS OF RESPONSIBILITYAdministrative and OfficePerform office tasks such as answering phones, greeting office visitors, assisting in hosting meetings, responding to internal and external customer inquiries, etc.Maintain integrity of virtual file storage for property, tenants, and team files through use of Sharepoint and metadataServe as primary contact for billing, repair/replacement, and supply management for office answering service, phone, cell, and IT services, copier vendor, office supply vendor, kitchen supply vendor, and other vendors that support management office operationsMaintain various documentation efforts to support team (tenant occupancy tracking, team meeting agendas, on call calendar, etc)AccountingUpload and code various property and management office invoices using Yardi or similar payables softwareGenerate system Aged Receivables report to track and report aged items. Conduct initial collection activities for unpaid rent amountsInitiate invoice production, coordinate with accounting, and follow up on collection of various bill back amounts to tenants and vendors/third partiesAssist with the preparation of financial and management reports as requiredAssist manager in the development of operating and capital budgetsAssist in preparing and sending common area maintenance rent escalation and reconciliation letters for each tenantProperty Operations, Work Orders, Vendors,Receive, dispatch, track and follow up on various work orders through Angus or other work order software, working with team members and vendors to obtain status of projects and ensure completionTrack vendor certificates of insurance to ensure they are up to date and meet coverage requirementsProduce contracts and assist as needed in RFP process for all tradesWork with vendors (landscaping, janitorial, plant maintenance, surface maintenance, etc.) on day-to-day activities and special assignmentsAssist in utility tracking and submeter reading, tracking and billingsAssist manager in performing regular property inspections and identifying needed work ordersTenantsRespond to various tenant requests via phone, email and in person. Accelerate issue resolution through appropriate escalation of issues to Assistant Property Manager or Property Manager using excellent team communicationAbstract tenant leases and amendments. Identify applicable lease language to respond to various tenant requestsPrepare Lease Commencement letters for each new lease and lease amendments.Track tenant certificates of insurance to ensure they are up to date and meet coverage requirementsAssist in planning and execution of various tenant events such as holiday parties, annual fire drill, etc.RequirementsProficient in Microsoft Office Products Excel and Word. Preferred experience with Teams, and Sharepoint.Computer literacy and ability to learn various accounting software packages. Preferred Yardi experience.Strong, effective communication skills.Excellent internal and external customer service skills.Ability to see assigned projects to completion with little supervision and/or to maintain assigned projects independently and consistently.We are looking for individuals who are curious and passionate about their work, rather than those with a degree and work experience. 1+ years of work experience and a degree in any field is preferred, but not required.
