Position Summary: At Relatable, we are seeking a detail-oriented and resourceful Office Coordinator to support the daily operations of our New York office. Reporting to and partnering closely with the Head of Office Operations, this role is instrumental in creating an efficient, welcoming, and high-functioning workplace experience for employees, leadership, clients, and visitors.The Office Coordinator will oversee a variety of operational responsibilities, including office logistics such as facilities support, inventory management, process documentation, onboarding coordination, vendor management, and internal event execution. This position is ideal for someone who thrives in a fast-paced environment, takes initiative, considers themselves a problem solver and is eager to grow into a broader office leadership role over time.As Relatable continues to expand, this role will contribute significantly to maintaining an organized, collaborative, and employee-focused office culture while supporting the evolving needs of a growing team.Key Responsibilities:Office Operations & FacilitiesSupport the daily operations of the office across multiple floorsAssist with facilities coordination including maintenance requests, vendor visits, and office upkeepHelp monitor office cleanliness, organization, and functionalityCoordinate with building management and service vendors as neededAssist with workspace setup, desk assignments, and office layout changesMonitor conference rooms and shared spaces to ensure they remain functional and well maintainedOffice Supplies & InventoryMaintain inventory of office supplies, snacks, beverages, and kitchen itemsManage restocking and organization of common areasTrack supply usage and coordinate ordering as neededHelp maintain organized storage areas and office resourcesEmployee Experience & CulturePartner with the Head of Office Operations to support company culture initiativesAssist with planning and execution of office events, team gatherings, and celebrationsHelp create a welcoming and positive workplace environmentSupport internal communications related to office updates and eventsOnboarding & Employee SupportAssist with new hire equipment ordering and set upCoordinate desk setup, office access, and welcome materialsHelp ensure new employees have a smooth first-day experienceProvide general office support for employees as neededEvent & Meeting SupportAssist with planning internal meetings, team offsites, and company eventsSupport meeting logistics including room setup and vendor coordinationHelp manage office hospitality and guest experiencesAdministrative & Operational SupportAssist with shipping, deliveries, and mail distributionHelp coordinate vendor services and service schedulesSupport operational documentation and office proceduresProvide additional administrative support for office operations as neededThis Could Be You If: Bachelor’s degree in Business Administration, Communications, Hospitality, or a related field preferred2–5 years of experience in office coordination, workplace operations, administrative support, or similar roles in a fast-paced environmentExperience supporting office events or workplace culture initiatives is a plusProficiency in Microsoft Office Suite and Google Workspace; familiarity with workplace management or ticketing systems is a plusStrong organizational skills with the ability to manage multiple priorities and adapt to changing business needsExcellent verbal and written communication skills with a professional and approachable demeanorHighly detail-oriented with strong problem-solving and follow-through capabilitiesProven ability to take initiative and work independently while collaborating effectively with cross-functional teamsExperience coordinating office logistics, facilities support, vendors, or workplace services preferredComfortable managing calendars, meeting logistics, event coordination, and employee support tasksAbility to maintain confidentiality and handle sensitive information with professionalism and discretionStrong customer service mindset with a passion for creating positive employee and guest experiencesAbility to lift and move office supplies, packages, and event materials as neededWhy Join Us?🌟 Bring Trends to Life – We don’t just follow what’s next—we create it. This is the lowest to highest salary we in good faith, believe we would pay for this role at the time of this posting.
