Administrative Assistant
Full-time, 12 months (52 weeks), non-exempt/hourly position. Requiresmaturity, initiative, trustworthiness, & a positive, proactive,people-oriented approach. Possess strong organizational & timemanagement skills, excellent communication skills (written & verbal),the ability to multi-task, self-initiate, be flexible, show attention todetail & possess the ability to be resourceful & problem solve in afast-paced environment. Strong technical proficiency, including advancedskills in Google Workspace & Microsoft Office. The ideal candidate iscomfortable managing documents, spreadsheets, calendars, &communications across multiple platforms. Ability to quickly learn newsystems & troubleshoot basic technical issues is essential. Effectiveinterpersonal & phone skills; able to communicate professionally withstudents, parents/guardians, staff, & others from outside of school.Maintain tact, discretion, & good judgment when handling sensitivematters & any documentation; thus, maintaining confidentiality, security& ensuring compliance with privacy policies & regulations. TheAdministrative Assistant must demonstrate the ability to learn,understand & implement Riverview?s philosophy, goals & related policies& procedures & be willing to step in to assist other departments asneeded. Able to be intuitive & to anticipate needs proactively. PrimaryDuties & Responsibilities: Handle interoffice/departmentalcommunications, correspondence, word processing duties & ResidentialOffice tasks. Provide phone coverage, oversee all-call announcements,manage departmental mail, packages, student discretionary funds, emails,etc. Support staffing coverage for dormitory shifts; assist withscheduling & troubleshooting coverage needs. Assist in preparing &maintaining the Residential Whiteboard & Coverage Needs. Enter data intothe Residential Office?s/Riverview?s databases & designated programs.Prepare schedules & sign-in sheets for residential orientation &in-services. Assist Residential Office Manager with recruitment tasks(initial contact/phone screen, interview coordination, reference checks,job fairs/open houses, onboarding packets, etc.). Ensure that deadlinesare met & adapt to changing priorities. Coordinate /distribute visitingstudent welcome packets & signage. Maintain departmental filing &organization of records. Assist with end-of-the-year shipping & storageprocesses. Assist with the ordering & tracking of supplies. Trackinventory, organize & order from vendors, Helmsman & Maintenance. Assistwith the development of orientation & closedown materials & packets.Assist with Missing Student & Lockdown Procedures; management ofemergency supplies & assistance with Emergency Staffing Plans as needed.Demonstrate the flexibility to communicate & work collaboratively withother administrative staff & support & assist other colleagues ordepartments as needed. Assure that safety policies & procedures arealways followed. Develop & maintain organized & efficient office systems& recommend improvements to existing procedures. Demonstrate ownership,self-initiation & follow-through of duties & responsibilities. Promoteteamwork & positive morale among all staff & departments. Process &follow up on verbal or written communication in a timely & effectivemanner, always mindful of confidentiality. Maintain Student Information,Vehicle Grid & Chaperone/Vehicle Books. Ensuring information is up todate & communicating pertinent information, as needed. Prepare chaperonebooks as needed with phones & keys.
