This is a 20-hour-per-week role ideal for someone who thrives in a dynamic startup environment and takes genuine pride in making everything run like clockwork.You'll be the operational backbone of our team — managing the CEO's time, coordinating across departments, and owning the day-to-day details that allow everyone else to focus on building great software. This position is crucial to the smooth operation of our office and the well-being of our employees. The ideal candidate will be a strong communicator, able to manage multiple priorities, and possess a solid understanding of operational excellence. This role will be expected to be on-site 3 days a week to best support the team in-person. Responsibilities:Executive SupportManage and optimize the CEO's calendar, scheduling meetings across time zones with precisionDraft and respond to emails, correspondence, and communications on behalf of leadershipCoordinate travel logistics: flights, hotels, ground transport, and detailed itinerariesPrepare decks, briefing documents, and meeting agendas for executive meetingsTrack action items and follow-ups from leadership meetings to ensure timely completionHandle confidential information with discretion and professionalismOffice & Operations ManagementServe as the point of contact for office vendors, facilities, and service providersManage office supplies, equipment procurement, and general administrative needsSupport onboarding logistics for new hires (equipment, desk setup, day-one coordination)Organize team events, offsites, lunches, and company celebrationsOwn expense reporting for office related expenses, oversee office budget and expense tracking related to office operations.Identify inefficiencies in administrative workflows and implement improvementsQualifications:2 -3 years of experience in an EA, office manager or similar role. Ideally in a startup or tech environment. Bachelor's degree in Business Administration, Human Resources, or a related field preferred.Expert-level proficiency with Google Workspace (Calendar, Drive, Docs, Sheets) Comfortable with SaaS tools like Slack, Google Meet and quick to learn new platformsExcellent organizational and time management skills with the ability to prioritize tasks effectively with a high attention to detail.
