Project Manager/ Operations Officer

We are seeking a highly organized, systems-oriented Project Manager / Operations Officer to oversee the firm's internal operations, optimize workflows, and ensure projects move efficiently from initiation to completion. This role is responsible for designing scalable processes, implementing automation, managing our CRM, and supporting the legal team through operational excellence rather than traditional administrative support. Key Responsibilities Manage and oversee day-to-day operational projects across the firm. Design, document, and continuously improve internal workflows and standard operating procedures (SOPs). Create templates, checklists, forms, and standardized processes to improve efficiency and consistency. Identify opportunities for automation and implement tools that reduce manual work. Manage, organize, and optimize the firm's CRM, ensuring accurate client data and workflow automation. Track project timelines, deadlines, and deliverables, ensuring accountability across the team. Coordinate communication between attorney and clients. Prepare reports, dashboards, and operational metrics for management. Conduct operational research and recommend improvements to firm processes. Maintain organized digital files, documentation, and knowledge management systems. Assist with onboarding new employees by documenting workflows and operational procedures. Support executive leadership with high-level administrative and operational initiatives. Coordinate meetings, manage calendars when necessary, and ensure follow-up on action items. Assist with software implementation, and technology adoption. Manage office operations, supplies, and administrative functions as needed. Coordinate internal events, trainings, and firm initiatives. Qualifications Experience in operations, project management, executive operations, or a similar role. Experience creating and optimizing workflows, SOPs, and business processes. Strong knowledge of CRM platforms Experience implementing automations using tools Exceptional organizational and project management skills. Strong analytical and problem-solving abilities with a continuous improvement mindset. Ability to manage multiple priorities and meet deadlines in a fast-paced environment. Excellent written and verbal communication skills. Proficiency in Microsoft Office (Excel, Word, PowerPoint) and Google Workspace. Experience with project management platforms. High attention to detail and commitment to process accuracy. Ability to work independently while collaborating effectively with cross-functional teams. Experience in a legal, professional services, or consulting environment is preferred but not required.
