HIPAA Privacy Office Administrative Support Provide administrative support to SVS Vision and Shopko Optical HIPAA Privacy Offices. Responsible for reviewing and responding to HIPAA records requests, assisting with policy/procedure development and updates, manage communications with store staff and external third parties (including medical providers, law firms, records management companies, etc.), typing of correspondence and legal documents, responding to mail and phone calls, preparing routine reports, setting up and maintaining files and filing systems, and other duties as assigned. Daily Administrative Support Provide administrative support to SVS Vision and Shopko Optical HIPAA Privacy Offices Respond to privacy related inquiries and concerns from teammates and patients Review and respond to HIPAA records requests Maintain and update documentation related to privacy incidents and resolution processes Prepare reports on compliance status and privacy incidents for management review Conduct regular audits of patient records to ensure compliance with privacy regulations Provide general administrative support to General Counsel Ensure department policies and procedures are adhered to Set up, coordinate, and prepare materials for meetings and presentations Maintain hard copy and electronic filing systems Create and maintain departmental reporting as requested Support department in assigned project-based work Daily Correspondence Create and monitor daily HIPAA correspondence including organization of email and hard copy mail Evaluate, respond to and/or route HIPAA correspondence to appropriate teammates Prepare legal documents Maintain a high level of confidentiality Minimum Knowledge, Experience & Skills Requirements High School diploma or equivalent Associate degree or bachelor's degree in business administration, management, communication or related field Combination of education and/or equivalent work experience in a related field 3-5 years' experience as a legal administrative assistant in a legal or healthcare setting, or related field Proven experience in privacy or compliance roles, preferably in a healthcare setting Strong understanding of HIPAA regulations and other applicable privacy laws Expert knowledge of English grammar Proficiency with proofreading and editing Able to work independently Self-motivated with strong attention to detail Strong organizational skills and the ability to handle multiple projects while meeting different deadlines Strong problem solving and decision-making skills Excellent verbal and written communication and interpersonal skills Able to thrive within a fast-paced environment Proficient with Microsoft Office Suite of programs and optical management system Essential Functions & Work Requirements Ability to effectively communicate at all levels within the organization through written and two-way verbal communication Able to read and write at a high school graduate level Able to sit or stand for extended periods of time Able to operate various office equipment (e.g., personal computer, telephone, fax machine, copier, etc.) Ability to see (Near, Distance, Color, and Depth Perception) Able to lift 10 to 20 pounds Able to view/read computer screen for extended periods of time Able to work normal and/or extended (evenings, nights, and weekends) office hours to meet established deadlines Able to travel independently to support Company objectives and personal development These statements are intended to describe the general nature and level of work performed by teammates assigned to this job classification.
