Payroll & HR Specialist

We seek an experienced, professional Payroll & HR Specialist who is responsible for managing full-cycle payroll processing and supporting HR and benefits administration across multiple entities and states. This role requires strong technical payroll expertise, attention to detail, and the ability to manage multiple priorities in a fast-paced environment. The ideal candidate is highly organized, proactive, and experienced with ADP Workforce Now. Payroll AdministrationPrepare and process weekly payroll for approximately 200 employees across multiple entities and states using ADP Workforce Now Administer and coach managers on timesheet requirements, accuracy, and deadlines. Process payroll-related changes including new hires, terminations, garnishments, direct deposits, tax localities, benefits deductions, salary adjustments, 401(k), and expense reimbursements. Review and audit payroll reports on a quarterly and year-end basis. Ensure payroll compliance with federal, state, and local regulations. Perform payroll reconciliations and administer weekly funding requirements. Maintain payroll records and ensure accuracy and audit readiness. HR & Benefits AdministrationAdminister benefits enrollments, changes, and terminations through insurance portals and ADP Workforce Now Process COBRA events and maintain compliance documentation. Support annual Open Enrollment for all entities & relative benefits packages. Perform reconciliations for benefits including 401(k), FSA, transit accounts, and medical plans. Assist employees with payroll and benefits inquiries in a timely and professional manner. Maintain employee records ensuring proper documentation and secure storage. Compliance & HR OperationsReview and administer I-9 requirements for new hires. Process background checks for newly hired staff. Assist with workers compensation claims administration. Support HR compliance filings including EEO-1, 1095-C, and workers compensation reporting. Assist with tracking construction certifications and job-specific training requirements. Ensure compliance with company policies, procedures, and regulatory requirements. Maintain electronic filing systems and HR documentation. Administrative & Team SupportProvide administrative support to Finance Management team and HR Director Assist with reporting, audits, and ad hoc HR and payroll projects. Support company-wide HR initiatives and process improvements. Required Skills & CompetenciesAdvanced proficiency in Microsoft Excel and MS Office applications Minimum of 8 years payroll processing & timesheet management experience Minimum 8 years of ADP Workforce experience required Strong organizational, prioritization, and time management skills Ability to manage multiple complex projects simultaneously under tight deadlines. Excellent attention to detail and accuracy Strong written and verbal communication skills Proven problem-solving and analytical abilities Bachelors degree required.
