The Program Coordinator, as part of the Vendor Management Office (VMO) team, supports the acquisition and ongoing management of contingent labor. This role partners closely with managers, vendors, and internal stakeholders to ensure smooth execution across the full lifecycle of contract labor—from requisition creation through onboarding, engagement management, and assignment closeout.Scope of ResponsibilitiesRequirement SupportOpen and manage new requirementsSchedule interviewsCoordinate and run qualification calls for new positionsManage onsite logistics, including booking conference roomsSupport onboarding activities, including background checks and fingerprintingEngagement SupportManage extensions and client lettersSupport rate changes, raises, terminations, and laptop returnsProcess expenses and assist with timecard-related issuesSupport SOW onboarding and hiringCreate and maintain finishes and backfill reportsManage the VMO inbox and respond to questions from clients and vendorsKeep the VMO inbox organized and appropriately taggedVendor Management & Program SupportAssist managers during all stages of the contract labor acquisition process, including requisition creation in a web-based, state-of-the-art Vendor Management System (VMS), candidate review and shortlisting, interview scheduling, and follow-upManage primary customer support activities, including quality review of staffing supplier fill rates and timekeeping activities via a web-based applicationOversee performance of participating staffing vendorsLog all client-reported issues and track resolution through completion to ensure a high level of customer satisfactionOwn additional VMO activities, including performance tracking, invoicing, purchase order (PO) tracking, and vendor compliance trackingMaintain and update monthly activity and performance reportsMaintain constant interaction via email and phone with clients, staffing vendors, contract personnel, and other partnersEnter new contractor profiles (contact information) and assignment details into client systems, where applicableAssist client managers with extensions of contract assignmentsAct as a liaison between managers, vendors, and the security department to ensure all necessary paperwork is completed and collected prior to assignment start and at assignment endEnsure all work orders are closed in the system when notified of an end of assignmentAssist, when needed, with the collection of company assets from vendors (e.g., devices, badges)Ensure the security department is notified of assignment end datesAssist with collection of contractor hours and approval of time by managersWork closely with vendors to ensure onboarding paperwork is completed in a timely manner so contractors can begin assignments on scheduleLog all client and vendor inquiries into the issue tracking systemProvide periodic program status reports to leadership as requiredEducation & ExperienceBachelor’s degree or an equivalent combination of education and experienceOne (1) to three (3) years of relevant experience; staffing and/or MSP experience preferredVMS software experience preferredAdvanced skills with MS Office and related toolsExcellent verbal and written communication skillsAbility to work in a dynamic environment that changes day-to-dayStrong organizational skills and attention to detailAbility to work independentlyCustomer-focused with a strong drive for resultsExcellent analytical and problem-solving skillsStrong documentation and follow-up skillsHigh level of determination to positively impact performanceEffective time management skills; self-motivated with perseveranceUnderstanding of staffing operations and primary business driversExcellent customer service and project management skills
