Job Summary:
The Controller (Financial) is responsible for preparing and maintaining financial records to track the organization’s assets, liabilities, profit and loss, tax liabilities, and other related financial activities. This position works closely with the Director of Finance, company ownership, President, General Construction Manager, and other division managers. This position oversees the Finance Department, which includes the AP & AR Coordinator. This position reports directly to the Director of Finance.
Primary Duties:
Maintains a documented system of accounting policies and procedures; implements a system of control over accounting transactions to minimize risk.
Responsible for training all field and mid-management on financial literacy in a supportive manner. Includes working closely on establishing budgets and forecasts by division.
Financial Reporting: Oversees the production of periodic financial reports; ensures that the reported results comply with GAAP (Generally Accepted Accounting Principles). Prepare important financial reports like profit and loss statements, balance sheets, and cash flow statements, to offer insights into the financial health of construction projects and the company.
Maintain precise and up-to-date financial records for all construction projects. This includes recording all transactions, maintaining general ledgers, and categorizing and coding financial data accurately.
Oversees Accounts Receivable Management: Manage the invoicing process for clients, track incoming payments, and handle outstanding balances, including issuing invoices and recording payments.
Monitor and follow up on outstanding receivables, including collections.
Answer customer billing questions promptly aligns with the highest customer service of the Company.
Reconcile customer accounts and resolve billing discrepancies.
Record and apply payments received from customers accurately.
Manage customer automatic payment system.
Oversees Accounts Payable Management:
Regularly reviews and reconciles purchase records and invoices to maintain consistency and accuracy in financial reporting.
Forecasts cash flow requirements, especially for large purchases or project-specific expenditures.
Resolves discrepancies in vendor invoices, payments, and records.
Ensure timely and accurate recording of payables transactions in QuickBooks.
Update all vendor information in QuickBooks and other applicable platforms.
Recommends benchmarks that will be used to measure the company’s standards.
Produces the annual budget and forecasts; reports significant budget differences to the Director of Finance.
Works with external auditors and CPA and provides needed information for tax preparation.
Responsible for reconciling bank statements with the company's financial records, ensuring accuracy and consistency.
Responsible for cost analysis and reporting by analyzing costs related to construction projects, including labor and materials, and providing these reports to management.
Responsible for maintaining communication with external parties such as vendors, clients, and financial institutions as needed.
Primarily responsible for the efficient use of accounting software (QuickBooks) and tools for bookkeeping tasks, data entry, and report generation.
Oversee service contracts, monitor service usage, ensure accurate billing and record-keeping, and maintain detailed records of contract terms and service utilization.
Ensures compliance with local, state, and federal government regulations.
Skills:
Must be a self-starter and able to work independently.
Must be proficient in utilizing and managing QuickBooks.
Must be proficient using Google Suite (or Microsoft Suite), including email, sheets, docs, and drive.
Must have a high attention to detail.

Education:
Bachelor's degree in Accounting, or related field, required.
Experience:
At least five years of related experience is required.
Accounting experience in the construction or like industry preferred.
Physical Requirements:
Prolonged periods of sitting at a desk and working on a computer.
Must be able to lift up to 15 pounds at a time.
