Permit Submission SpecialistLocation: Remote (Philippines)Reports to: Operations Lead / PrincipalEmployment Type: Full-time(40hours/week)Compensation: $1,500/monthABOUT THE ROLEYou will manage the end-to-end permit submission process for building projects across jurisdictions in the U.S. and Canada. You work independently, using provided drawing sets and project data to research requirements, prepare applications, submit to AHJs, and track approvals through to issuance.This role requires someone who is methodical, technically sharp, and comfortable navigating unfamiliar jurisdictions with minimal hand-holding. You'll use AI tools, online portals, and phone/email outreach to get permits approved efficiently.RESPONSIBILITIESPre-Submission ResearchResearch permit requirements for each AHJ: application forms, required documents, fees, submittal formats (portal vs. email vs. in-person)Identify zoning requirements, setbacks, occupancy classifications, and code editions in effectFlag missing information in drawing packages before submission to avoid rejectionsCalculate or confirm project valuation, square footage, and occupancy data for fee calculations.Application PreparationsComplete permit application forms accurately for each jurisdictionAssemble full submittal packages: drawings, forms, supporting documents, energy compliance docs, owner authorization lettersUse AI tools to accelerate form completion, document review, and checklist verificationConfirm checklist compliance before every submissionSubmission and TrackingSubmit applications through online portals, email, or coordinate with in-person submission services where requiredTrack all active applications across projects in our project management systemFollow up with AHJ staff by phone and email to confirm receipt, check review status, and resolve holdsLog all communications and status updates in real timePlan Check ResponseReceive and interpret plan check commentsCoordinate with the project architect to organize responses and revised drawingsAssemble and resubmit correction packagesTrack resubmittal rounds and maintain revision logsPermit Issuance and CloseoutConfirm permit issuance, download permit documents, and distribute to the project teamMaintain a complete permit record for each projectREQUIRED EXPERIENCE AND CREDENTIALS3+ years of experience in building permit processing, plan check coordination, or construction project administrationStrong working knowledge of the North American permitting process: AHJs, plan check cycles, OTC vs. reviewed permits, over-the-counter permits, etc.Ability to read and interpret architectural and structural drawings (floor plans, elevations, sections, details, schedules)Experience working with online permit portals (ePermitHub, Accela, EnerGov, ProjectDox, or similar) Solid English communication skills -- written and verbal -- for direct outreach to city/county staffHighly organized, with strong documentation and tracking habitsComfortable working independently across multiple jurisdictions and projects simultaneouslyProficiency with AI tools (ChatGPT, Claude, or similar) for research, drafting, and document reviewPREFERREDDirect experience submitting permits in multiple U.S. states or Canadian provincesFamiliarity with IBC, IRC, OBC, NBCC, and local amendmentsExposure to zoning codes, variances, conditional use permits, and change-of-occupancy applicationsExperience with PermitFlow, Bluebeam, or similar construction tech platformsBackground in architecture, construction management, or urban planning (degree or diploma)ICC Permit Technician certification or equivalent is a strong plus
