Compudopt is a leading national nonprofit organization that aims to provide technology access and education to under-resourced youth and their communities by bridging the digital divide. Compudopt is in search of an Executive Assistant located in Houston, TX. The Executive Assistant will provide high-level administrative support and customer service to our Chief Executive Officer (CEO).

Major Job Responsibilities and Duties:
Executive Support:
Effectively manage and maintain the Chief Executive Officer (CEO) calendar, schedule and plan conferences, teleconferences, travel including itineraries, transportation and
Prioritize and manage multiple projects with minimal guidance.
Compose and prepare letters relating to routine correspondence for the CEO’s signature.
Schedule departmental meetings; assist in the preparation and distribution of meeting agendas and materials.
Serve as a point of contact between the CEO and internal/external stakeholders, community members, partners and future collaborators.
Provide consistent follow through on issues, challenges, requests, and concerns in a timely manner.
Collaborate and assist other departments or stakeholders in planning and coordinating events, including conferences, meetings, and workshops where the CEO will be in attendance.
Prepare reports, presentations, and other documents for internal and external meetings as assigned.
Manage and reconcile expense reports for the CEO and C-suite officers monthly.
File and maintain important annual documents as required by partners and assist with other compliance related tasks.
Create or update standard operating procedures (SOPs) as needed.
Identify administrative process deficiencies or inefficiencies and make recommendations for improvement to the CEO.
React with appropriate levels of urgency to situations and events that require quick response. Effectively pivot and successfully perform duties under tight deadlines.
Office Management and Board Support:
Maintain an organized and efficient office space in accordance with Compudopt’s safety policy.
Assist in the selection of vendors and purchase equipment and services necessary for the operation of the organization.
Attend all board meetings, take minutes, support the preparation of the board package, and ensure its upload/dissemination.
Perform all tasks associated with board meeting communication and set up, including but not limited to timely communication of all applicable information to expected attendees, printing all required documents, reserving and setting up meeting area, and ordering meals for meeting attendees.
Adhere to compliance with applicable rules and regulations set in bylaws regarding Board matters.
Effectively maintain archives and provide historical reference by developing and utilizing filing and retrieval of meeting discussions.
Provide support in the planning and execution of organization offsite events.
Special Project Support:
Collaborate and assist with events, special initiatives, logistics and execution of projects including but not limited to conducting research, gathering data, and preparing materials for presentations as needed and directed by the CEO.
Communication Liaison:
Draft, proofread, and send correspondence internally and externally as directed by the CEO.
Maintain a professional demeanor and tone during all verbal and electronic communication exchanges.
Invest and cultivate in the building of long-lasting relationships both internally and externally
Confidentiality and Integrity:
Maintain a high level of integrity and discretion in handling confidential information.

Qualifications:
Required:
HS Diploma or GED
A minimum of two years’ experience supporting C-suite officers as an executive or administrative assistant
Preferred:
Associate degree
Bilingual
Three or more years’ experience supporting C-suite officers in a nonprofit or clerical environment.
Special Knowledge/Skills:
Excellent organizational skills with an ability to think proactively and prioritize work.
Strong communication skills (via phone, email and in person)
Ability to pay close attention to detail.
Proficiency with Microsoft Office
Able to work with minimal supervision.

Salary is one component of Compudopt’s total compensation package, which also includes:
