The Pre-Employment Transition (Pre-ETS) Coordinator will work closely with administrative staff to support the Pre-ETS program. DUTIES AND RESPONSIBILITIES: Create and maintain systems to optimize workflow Maintain systems of record for tracking client participation and invoicing Assist in template and content creation for reporting; make recommendations for improvement, and integrate feedback from outside stakeholders and VT Staff throughout the documentation process Prepare and submit quarterly milestone reports for Pre-ETS Responsible for data collection, formatting, proofreading, and processing of reports Distribute/collect all report documentation, consent forms, referrals, and milestone approval forms to Vocational Rehabilitation counselors Ensure all Pre-ETS and school system policies, procedures, and contacts are documented, followed, and updated Must work in a manner to uphold strict confidentiality Observe the Pre-ETS program on frequent basis Create and distribute Voices Together Pre-ETS promotional materials Collaborate on special projects with other staff members Maintain regular communication with all Voices Together team members, VR staff, and teachers Work with Community Program Coordinator(s) to schedule summer events with teachers and staff Develop resources for students and teachers, as needed Regularly visit classrooms where Voices Together Therapists work to develop and maintain relationships with teachers and school staff Other duties as required or assigned EDUCATION AND EXPERIENCE: 1-2 years experience as a Program Coordinator or other similar role Ability to communicate effectively with management and other departments Excellent written, oral, and organizational skills Demonstrated proficiency in Google Suite and MS Office Suite DESIRED QUALIFICATIONS AND SKILLS: Experience working in a social service environment and familiarity with not-for-profit environment Prior experience with Pre-Employment Transition Services TRAVEL: This role will require travel throughout North Carolina with infrequent, previously scheduled overnight stays. PHYSICAL REQUIREMENTS: Prolonged periods sitting at a desk and working on a computer Must be able to lift up to fifteen (15) pounds at times Voices Together is a not-for-profit organization that provides Music Therapy to Autistic and Neurodivergent clients.
