Senior Executive Assistant

MAIN RESPONSIBILITIESManage complex, constantly shifting calendar for an ExecutiveCoordinate and manage travel arrangementsPrepare and submit expense reports and reimbursementsKeep executive on schedule and proactively manage time conflictsSupport philanthropy efforts and related personal administrative tasks (high confidentiality)Facilitate meetings, including scheduling with executive-level stakeholdersMaintain files (physical and digital) and revise business documentsSupport research projects and special administrative initiativesCoordinate legal document execution and transaction-related processesManage invoices, approvals, and administrative workflowsPlan and support internal and external events (client events, team events, industry events)Liaise with internal teams (legal, finance, accounting) and external stakeholdersMUST HAVES5+ years supporting a very busy executiveExperience managing high-volume, rapidly changing calendarsStrong travel coordination and expense management experienceAbility to keep a demanding executive on track and interrupt when necessaryHigh availability and reliability during peak deal/activity periodsProficiency with Microsoft Office (Excel, PowerPoint, Outlook, Teams)Strong organizational and multitasking abilitiesHigh level of discretion and confidentialityExperience supporting fast-paced, high-demand environmentsNICE TO HAVESBachelor's degreeReal estate experience (preferred)Understanding of real estate transactions and development lifecycleExperience in commercial real estate, development firms, engineering firms, or general contractorsExposure to data centers, storage facilities, or commercial development projects
