The Specialist plays a key role in delivering accurate, timely payroll services to our clients. This position ensures smooth payroll operations, serves as a go-to resource for internal team members and clients, and supports multi-state payroll tax coordination in partnership with our third-party payroll vendor.
What You'll Do:
Process and review multi-state payrolls to ensure accuracy, compliance, and timeliness
Serve as a subject matter resource for payroll policies, processes, and system functionality
Coordinate workflow within the payroll team to support efficient service delivery
Respond to payroll support tickets and client inquiries with professionalism and urgency
Prepare and distribute payroll-related reports
Serve as the primary point of contact for payroll tax notices, partnering with our payroll vendor to research, respond to, and resolve items in a timely manner
Review tax notices for accuracy, gather required documentation, and track issues through resolution
Collaborate with clients, internal stakeholders, and the payroll vendor to clarify discrepancies in a multi-state environment
Identify patterns or recurring issues and contribute to process improvements
Provide system training and ongoing support to clients In the absence of the Payroll Manager, assist in coordinating daily payroll activities
What Makes You a Strong Fit:
Three to five years of progressive payroll experience, including multi-state payroll exposure
Experience working with third-party payroll vendors
Familiarity with payroll tax notices and issue resolution (tax filings are handled by the vendor)
Strong understanding of how HR and payroll systems integrate and how employee lifecycle changes impact pay and compliance
High attention to detail with strong analytical and problem-solving skills
Ability to work independently and manage priorities in a deadline-driven environment
Excellent communication skills and the ability to build trust with clients and internal partners
Experience with HRIS or payroll systems such as Kronos is preferred. Proficiency in Excel and comfort working with data are important.
Ability to work independently and as part of a team in a fast-paced environment

The expected salary range for this position is $31.25 - $36.06 per hour. Actual compensation will depend on experience, qualifications, and location. Work hours will be 8am - 5pm PT, Monday - Friday.
