Program CoordinatorHybrid (Remote with in-person event support as needed)Full-TimeOverviewThe Program Coordinator serves as the operational backbone of the FIRST Chesapeake programs team, ensuring that day-to-day logistics, data systems, and team-facing processes run smoothly across all FIRST programs. This role works in close collaboration with the Senior Program Manager and Program Manager, providing cross-program operational support.This is an entry level role for someone who is highly organized, detail-oriented, mission-aligned, and eager to build deep knowledge of FIRST program delivery. Through cross-sector collaboration and mission-aligned innovation, we're building a stronger, more connected future—one student at a time.Primary ResponsibilitiesTeam Registration & OperationsServe as the primary operational contact for team registration, event selection, placement, and logistics across all FIRST programs. Responsibilities include:Manage team registration workflows, qualifier selection, and placement for programsServe as first-line support for coaches and mentors navigating registration platforms, escalating complex issues to the appropriate program leadTrack grant and stipend records in coordination with the operations functionMaintain accurate, up-to-date records across all internal systems and databasesCoordinate season launch event logistics, including communications, volunteer coordination, and on-site supportEvent Support & LogisticsProvide hands-on operational support for FIRST Chesapeake events throughout the season, including:Attend events as assigned to manage logistics, troubleshoot on-site issues, and complete post-event reportsSupport the coordination of Championship event tasks including Student Ambassador (SA) program support, Pass the Torch, Alumni engagement, and volunteer recognitionLead freight and materials management for Worlds, including inventory tracking, packing coordination, and shipping logisticsBuild in preparation time for pre-event communications and post-event debriefsData Tracking & ReportingOwn the collection, organization, and maintenance of program data to support operations and mission impact:Collect and maintain team participation, pre-season and post season impacts, and demographic data across all FIRST programsIn conjunction with Sr. Program Manager, prepare data summaries and reports for internal use, grant reporting, and impact storytelling as directedSupport the Sr. Program Manager and Program Manager with data needs specific to their functional areasEnsure data integrity across all tracking systems and shared documentationAdministrative & Cross-Team SupportProvide operational and administrative support to the Sr. Program Manager and Program Manager to keep seasonal workflows on track:Maintain shared calendars, task trackers, and documentation systemsDraft newsletters, team updates, and event communications as assignedCoordinate FIRST Leadership logistics, including nomination tracking, communications with coaches, and submission coordinationMonitor and respond to stakeholder inquiries with high responsiveness and integrityProfessional & Operational DevelopmentParticipate in cross-training across all FIRST programs to build organizational breadthEngage in professional development opportunities as identified by the Vice PresidentContribute to process improvement as operational patterns and opportunities emergeAll other tasks as assigned by the Sr. Program ManagerQualificationsRequiredRelevant experience in program coordination, youth development, education, or a related fieldStrong time-management and organizational skills with the ability to manage multiple priorities and meet deadlinesExcellent written and verbal communication skills across email, phone, and in-person settingsProficiency with Google Workspace (Docs, Sheets, Calendar, Slides) and SlackComfortable working independently and collaboratively in a remote environmentFlexible and dependable, with willingness to support evening or weekend events during peak competition seasonPassionate about expanding access to STEM education and empowering youth through hands-on learningDesiredFamiliarity with FIRST programs (FTC, FRC, FLL) or other STEM competition environmentsExperience with Canva or similar design platforms and AI productivity toolsWeb development experience in platforms like WIXBackground in volunteer coordination, event logistics, or nonprofit operationsWork ConditionsRemote-first role based in Virginia or Maryland, with travel to events across VA, MD, DC, and occasionally WVStandard business hours, with schedule flexibility required during competition season (evenings and weekends will be required with advance notice)Event days can be physically active—must be comfortable standing for extended periods and occasionally lifting up to 50 lbsSupportive, mission-driven team environment where learning is encouraged and professional growth is built into the journeyCompensationAt FIRST Chesapeake, we value our people and their well-being.
