Talent Acquisition Coordinator
ProspectBlue seeks a Talent Acquisition Coordinator for their client in Richmond, VA!!Job Qualifications:• Schedule and coordinate interviews across multiple time zones, ensuring seamless communication between candidates and hiring teams via Outlook• Send interview invitations to candidates and calendar invites to hiring managers, interviewers, and relevant stakeholders• Coordinate and support the logistics of onsite interview days, including room bookings, agendas, and point-of-contact guidance• Send and track candidate assessments, ensuring timely completion and proper recordkeeping• Manage candidate communications throughout the hiring process — from application acknowledgment to offer stage — maintaining a positive and professional candidate experience• Enter and maintain accurate candidate and requisition data in the HRIS and ATS, ensuring data integrity at all stages• Own job description management: maintain a library of up-to-date job descriptions, partner with hiring managers on updates, and post roles to job boards and the company career site• Conduct sourcing activities on LinkedIn and other platforms to build pipelines for active and future openings• Assist with offer letter generation, pre-employment check coordination, and new hire pre-boarding steps• Support the creation and maintenance of recruiting reports and dashboards in Excel to track pipeline health, time-to-fill, and other key metrics• Help build and maintain talent pools and candidate databases for high-volume or recurring roles• Partner with the broader HR and People team on employer branding initiatives, career fairs, and recruiting events• Identify opportunities to improve recruiting workflows and contribute to process documentationWhat We're Looking For• 1–2 years of experience in a coordination, administrative, or HR support role (recruiting experience a plus)• Exceptional organizational skills with strong attention to detail• Comfort managing complex scheduling across multiple time zones• Proficiency in Microsoft Outlook for calendar and communication management• Working knowledge of Microsoft Excel, including pivot tables, filters, and basic formulas• Strong written communication skills and a professional, candidate-first mindset• Experience with an ATS or HRIS is a plus (e.g., Greenhouse, Lever, Workday, BambooHR)• Ability to manage multiple priorities in a fast-paced environment with precision and follow-through• Proactive and collaborative — someone who spots a gap and fills it without being asked• Bachelor's degree or equivalent work experience preferred
