Powered by Care.Classification: Non-ExemptThe Billing Administrator plays a critical role in supporting the company’s billing and accounts receivable functions. This position is responsible for assisting with invoicing, AR collections, processing lien waivers, and the preparation and submission of weekly certified payroll reports. The ideal candidate is highly organized, detail-oriented, and capable of managing multiple deadlines in a fast-paced construction environment.Key ResponsibilitiesBilling & Accounts Receivable SupportAssist with preparation and processing of customer invoices, ensuring accuracy and timelinessSupport AR collections efforts, including follow-ups on outstanding balances and maintaining customer communicationResearch and resolve billing discrepancies, contract/MSA questions, and payment issuesMaintain accurate customer records, including billing rates, job information, and documentationCertified Payroll ReportingPrepare and submit weekly certified payroll reports in compliance with federal, state, and project requirementsEnsure accuracy of labor classifications, hours worked, and wage ratesMaintain supporting documentation for audit and compliance purposesCoordinate with payroll and operations teams to gather required dataLien Waiver ProcessingPrepare, review, and track lien waivers (conditional and unconditional) in accordance with project and state requirementsEnsure lien waivers are completed accurately and submitted timely to support billing and collectionsCoordinate with customers, subcontractors, and internal teams to obtain required signatures and documentationMaintain organized records of all lien waivers for audit and compliance purposesReporting & Administrative SupportMaintain weekly AR aging and collection reportsTrack billing status, payment trends, and outstanding receivablesAssist with audit requests and documentation related to billing and payrollGeneral SupportCollaborate with project managers and operations to ensure billing aligns with job progress and contract termsAssist with process improvements to increase efficiency and accuracy in billing and collectionsProvide additional administrative support to the accounting team as neededQualificationsEducation & ExperienceAssociate or bachelor’s degree in accounting, Finance, or related field preferred2+ years of experience in billing, accounts receivable, or payroll (construction industry preferred)Experience with certified payroll reporting and lien waiver processing strongly preferredSkills & CompetenciesStrong organizational skills with the ability to manage multiple priorities and deadlinesHigh attention to detail and accuracyWorking knowledge of Excel and ERP/accounting systemsStrong communication skills for internal coordination and customer follow-upAbility to problem-solve and work independently in a fast-paced environmentWhy This Role MattersThis role is essential to maintain healthy cash flow, ensuring compliance with certified payroll requirements, and supporting accurate financial reporting.
