Event Assistant
Job Title: Administrative Assistant - Events SupportOverview:Join our client's dedicated team as an Administrative Assistant specializing in events support for a dynamic nonprofit organization. In this pivotal role, you will play a key part in orchestrating their flagship fundraising event, enabling community organizations to come together and support youth services. If you thrive in a fast-paced environment, have a knack for detail-oriented coordination, and possess a passion for making an impact, this opportunity is your chance to contribute to a meaningful cause while honing your event and administrative expertise.Compensation:$24.00 per hourResponsibilities:Facilitate seamless communication with sponsors, vendors, volunteers, and staff through professional correspondence and follow-up.Maintain meticulous electronic and physical records of event materials, vendor documents, and contact lists.Coordinate schedules, set agendas, and prepare materials to ensure the successful execution of the event.Assist in managing registration processes, attendee tracking, and on-site check-in activities.Support the use of event management platforms such as Cvent and fundraising tools like GiveButter for registration and donation tracking.Aid in vendor coordination, including order processing, invoice management, and supply organization.Contribute to the setup and breakdown of event spaces, ensuring smooth on-site operations.Perform post-event follow-up, including sending thank-you notes and reconciling invoices.Requirements:High school diploma or equivalent required; additional education is a plus.One to three years of experience supporting events, administration, or in a nonprofit environment preferred.Demonstrated proficiency with Google Workspace (Gmail, Drive, Docs, Sheets, Calendar).Skilled in Microsoft Office applications such as Word, Excel, PowerPoint, and Outlook.Ability to support event logistics, manage databases, and coordinate with multiple stakeholders.Experience with event platforms like Cvent and fundraising tools such as GiveButter or similar systems is highly desirable.Must be available to work onsite full days on 5/29 and support the event at Fenway Park until approximately 8:30 pm.Our Commitment to Inclusion & BelongingThe Hollister Group is an equal opportunity employer.
