Job Title: Administrative AssistantClient: Aerospace IndustryLocation: Windsor, CT, 06095Duration: 11 MonthsShift: Monday-Friday, 8:00 AM - 5:00 PMJob SummaryHandles front office operations and accounts payable support, ensuring smooth administrative workflows, accurate invoice processing, and effective vendor coordination.Key ResponsibilitiesManage reception activities including calls and visitor handlingProcess invoices and prepare payment-related documentationCoordinate with shipping and internal teams to verify receiptsInvestigate and resolve invoice discrepanciesMaintain accurate financial records and organized documentationRespond to vendor inquiries regarding payments Core DutiesReceive, code, and input invoices into the systemApply discounts and ensure accurate payment processingPrint checks and manage weekly payment distributionMaintain check registers and reconcile payment dataFile and track paid invoices for audit and complianceResolve issues such as duplicate payments, incorrect charges, and creditsMaintain tickler files for pending purchasing/payment issues Required QualificationsHigh School Diploma or equivalent3 months to 1 year of experience (accounts payable required)Basic understanding of accounting principlesProficiency in MS Office and general office systemsStrong communication skillsHigh attention to detail and process adherence
