HAMPSHIRE REGIONAL HIGH SCHOOL Administrative Assistant to the Principal DESCRIPTION: Under the direction of the school principal, the administrative assistant to the principal coordinates, organizes and perform the day-to-day secretarial and administrative functions at an assigned school office; provide secretarial assistance to the Principal (and Assistant Principals) relieving the Principal (and Assistant Principals) of administrative details; serve as liaison between students, staff, parents, district personnel and the community. SUPERVISION: Works under the supervision of the Principal and Assistant Principals. Evaluated by the Principal or designee. JOB ENVIRONMENT: Work is performed within a secondary school environment. PERFORMANCE RESPONSIBILITIES: Coordinate and organize and perform the day-to-day secretarial functions of the Hampshire Regional High School main office. Assist with ensuring the safety of the school building by monitoring all people coming in the building and ensure that measures are in place to identify visitors. Maintain a high degree of confidentiality regarding all aspects of the school site operation; establish, maintain and ensure proper use of confidential files, which may include student, personnel, and payroll records; maintain accuracy of all student records and transcripts in the school vault. Provide secretarial assistance to the Principal and High School Assistant Principal relieving the Principal and Assistant Principal of administrative details; compose, type and edit letters, school newsletter, memos, agendas, and other documents as assigned; make arrangements and prepare materials for a variety of meetings and/or professional development sessions; schedule appointments and make referrals as appropriate; maintain calendar for the Principal; maintain office files and records for the principal such as field trips, student/family correspondence and other material Provide support to staff including providing various student information, assisting with field trips, completing forms, distributing mail, and preparing reports. Prepare and maintain school master calendars (for staff and for the school website). Prepare and compile various district reports such as enrollment, school choice, free and reduced lunch/milk, and other assigned reports according to established timelines. Provides support to the administration with the hiring process, including shifting hours to greet candidates Operate a computer with knowledge of specific software programs; operate a telephone, photocopier, intercom, fax machine, calculator and other office equipment; arrange for repair and maintenance of equipment as needed. Assist with scheduling the use of facilities by the community; maintain related records. Maintain and record accurate student grade reporting and quarterly honor roll as well as school transcripts. Perform a wide variety of secretarial work, including typing/word processing, proofreading, filing, recording information, and processing and distribution of all correspondence, much of which is of a confidential nature. Assure timely communication between the office and school employees; initiate phone calls to receive and transmit information; receive, screen and route telephone calls; take and relay messages as appropriate. Oversee, coordinate, and organize the college student observers, tutors, mentors, student teachers, and other visitors. Oversee requisitions for school supplies and materials and administration's professional development. Supports with the organization of the Student and Family Newsletter. Supports the coordination of high school awards night and graduation. Welcome and process new employee information and files: set up new mailbox and employee files. Submit request for email and phone/voicemail set up and phone extension list update. Communicate annual assignments of advisors, Program Leaders, Team Leaders, faculty, staff, and coaches to district office. Coordinate duties of Administrative Assistants in their absences. Processes paperwork for orders and vendors as it pertains to Student Activities Assists with monitoring student eligibility and attendance for extracurricular activities Processes and tracks student user fees for extracurricular activities Assume other tasks and responsibilities as may be assigned by the Principal. EDUCATION AND EXPERIENCE: Experience working with PowerSchool, Microsoft Word, Excel, Adobe, Google Suite and with apple products required. Superior interpersonal skills/ability to communicate and interact with parents, staff, and students. Superior technology skills required. Knowledge of the Hampshire Regional School district preferred.
