Administrative Assistant I

Job Description BORJA Engineering & Construction is seeking a passionate Administrative Specialist to join our integrated team of Project Managers, Project Engineers, and Superintendent. Our San Diego office is continuing to grow, and you’ll have the opportunity to be a central part of our expansion. You will have the opportunity to collaborate with team members on projects that are both local and across California, Nevada, and Arizona. Our clients are both public and privates o your career can take many different trajectories.This is a Full-time position (30-40 per week).A positive attitude, adaptability to changing client needs, computer skills and being a quick learner is a must. Interest/Experience in sales/client development preferred.Responsibilities Include Operates multi-line phone system answer and support calls from clients. General clerical duties including photocopying, fax and mailing; opening, sorting and distributing incoming correspondences. Prepare and modify documents including correspondence, reports, drafts, memos and emails Schedules appointments in calendars Pleasantly greets persons entering the organization and directs them as needed Collects, sorts and distributes mail Manages incoming faxes and distributes based on procedures Provides administrative support to Project Managers, Project Engineers and Superintendents Responsible for cleanliness of personal work area, kitchenette, and conference rooms Arrange and Schedule Travel for Team/Staff company wide Coordinate client and office events throughout the year Fielding telephone calls, word processing, creating spreadsheets and presentations, and filingRequired Skills And Experience Above average Computer skills: Microsoft Excel, Word, Power Point; Outlook; Internet Research Ability to multitask and focus on various responsibilities at any given time Experience in providing administrative support to management and technical staff High school diploma required Very Punctual, dependable and reliable team player Ability to multi-task with minimal supervision Excellent verbal and written communication skills in English Professional personal presentation and cheerful attitude Positive customer service orientation Intermediate computer skills Maintains a mature, polished, pleasant and professional presence and disposition at all times Knowledge of computers, relevant software applications and general office equipment Knowledge of customer service principles and practices Cheerful and excellent phone answering skillsDesired Prior Front desk/receptionist experience a plus Multi-line phone system knowledge a plus Customer service experience Prior Administrative assistant experience a plus A second language a plus (Spanish)Company DescriptionBORJA is an organization dedicated to providing exceptional construction service by building trust through our quality of work, exceeding expectations and development of long-lasting partnership with our clients.
