Right Price.Title: HR Operations Assistant / ReceptionistDuration: 12+ Months ContractLocation: San Diego, CAPay Rate: $ 21.00/hr on W2 Shift: Standard Business HoursPosition Summary• The Receptionist serves as the first point of contact for Client at the Summers Ridge location, providing professional, welcoming front-desk support while managing administrative, mailroom, badge, and clerical functions• Supports Human Resources, Accounts Payable/Receivable, Safety, Facilities, and other departments while ensuring a safe, organized, and hospitable workplace environment• Provides operational support across front desk, HR, AP/AR, safety, communications, and facility coordination• Maintains professionalism, confidentiality, customer service, and workplace safety standardsResponsibilitiesFront Desk & Visitor Services• Greet, receive, and direct visitors, applicants, vendors, customers, and employees to appropriate contacts• Operate and respond to calls on the main switchboard• Maintain a professional, courteous presence while ensuring facility safety and securityMail, Shipping & Distribution• Process incoming and outgoing mail and coordinate daily delivery• Create shipping labels and prepare FedEx packages, primarily for the Human Resources team• Scan and email California EDD mail to the Termination Team• Forward out-of-state employment mail to MyHRAdministrative & Human Resources Support• Provide clerical and administrative support to Human Resources and other departments as needed• Assist with HR onboarding, Talent Acquisition activities, and large meetings or events held in conference rooms• Distribute and coordinate posting of on-site event and communication flyers across Client buildingsSafety, Events & Catering Support• Assist Safety Department with building evacuation rosters when requested• Support internal and external catering services for meetings and eventsAccounts Receivable (AR) Support• Receive checks via mail or in person• Log checks into AR spreadsheet and scan with deposit slips• Email scanned checks to AR and notify designated contacts• Prepare deposits when check log reaches required threshold• Scan and route WEX checks to Benefits TeamAccounts Payable (AP) Support• Receive AP checks and scan/email copies to Accounts Payable• Distribute checks to listed departments once confirmation is received• Open, date-stamp, and file invoices in AP folder• Date-stamp and place monthly statements in AP mailbox• Process and route utilities and AP mail as requiredMass Communications• Create and maintain weekly communication flyers for café and facility announcements• Send flyers for company-wide distribution• Coordinate urgent communications with backup contacts when needed• Distribute recurring communications as directedBadge Management & Security Support• Issue and track temporary badges for visiting employees or employees who forget or lose access cards• Verify employment status in Workday using identification• Maintain temporary badge logs using Excel• Empty returned badge box daily• Coordinate contractor badge requests and Security notifications• Assist with permanent badge creation when Facilities staff are unavailableConference Room & Guest Assistance• Assist guests and employees with directions to conference rooms and facilities• Support visiting presenters and employees during meetings or events as requestedQualificationsEducation:• High school diploma or equivalent requiredExperience:• Previous receptionist, administrative, or customer service experience preferredSkills:• Proficiency in Microsoft Office (Outlook, Excel, Word)• Strong organizational, communication, and multitasking skills• Ability to handle confidential information with discretion• Professional demeanor with strong emphasis on customer service and safety• Professional communication and interpersonal skills• Attention to detail and organization• Customer service and hospitality• Adaptability and teamwork• Confidentiality and reliabilityCore Behaviors:• Thrive Together - Collaborate intentionally, grow as a team• Make It Happen - Focus on priorities, embrace continuous improvement• Commit to Service - Cultivate a service mindset• Embrace Inclusion - Be open and authentic, welcome diverse perspectivesWhy Work With Us?We believe in more than just jobs—we build careers.
