Operations Coordinator
Responsibilities
Manage and facilitate house setup, inventory controls, room blocking, billing setup, pre-key and pre-reg groups as needed.
Take the lead on guest communications through KIPSU, Guest Stay Platform, emails, phones, and in-person interactions.
Develop relationships with Hilton Honors Guests and serve as their point of contact for any hotel or program questions.
Create memorable experiences for our Hilton Honors, VIP, and Repeat guests before and throughout their stay. Conduct guestroom inspections prior to arrivals.
Communicating any guest needs or special requests to fellow hotel departments.
Arrange Hilton Honors amenities and VIP amenities to be placed in the room before the guest arrives.
Conduct introductory training with other Front Office and hotel associates.
Communicate room and inventory needs through department meetings and email.
Maintain office supply and Front Desk/ Hilton product inventories.
Perform any other duties assigned by the Front Office Management, including Front Desk coverage.
Be pleasant, smile, and greet all guests, using surnames when obtained.
Assists with onboarding of other hotel employees and hotel internal events.
Knowledge, Skills & Abilities
The Hotel may consider an equivalent combination of acceptable education and experience providing the knowledge, skills, and abilities cited below, when applicable
Any combination of education and experience equivalent and graduation from high school or any other combination of education, training, or experience that provides the required knowledge skills, and abilities. High school diploma preferred.
Prior hospitality experience is preferred, but not required.
Considerable skill in the use of a calculator and preparing moderately complex mathematical calculations without error.
Ability to effectively deal with internal and external customers, some of whom will require high levels of patience, tact, and diplomacy to defuse anger, collect accurate information, and help resolve conflicts.
Ability to read, listen, and communicate effectively in English, both verbally and in writing.
Ability to access and accurately input information using a moderately complex computer system.
Hearing and visual ability to observe and detect signs of emergencies.
Physical Demands
Ability to stand and move throughout the front office and continuously perform essential job functions
Stand 95% of shift
Lifting up to 25 pounds maximum.
Occasional twisting, bending, stooping, reaching, standing, walking.
Frequent talking, hearing, seeing and smiling.
