Assistant Dental Office Operations Manager

This position will be responsible to oversee the front desk is operating smoothly and manage the flow of the front desk business and phone coverage. This position assists the Practice Administrator where needed and responsible for office in Practice Administrators absence. The position has many points of contact with the patients and is responsible for ensuring the patient has a great first impression.Essential Duties & Responsibilities:Resolve patient account issuesAddress A/R accounts with patients before treatment is renderedManage offices collection accounts and all incoming web inquiries and email correspondenceMaintains an environment which promotes an outstanding patient experienceEnsures the office is clean & presentable on a daily basisManage schedule for front desk staff and arrange coverage for time off and delegate duties.Process payroll as needed for all administrative staffAssist as backup for patient coordinator and specialty treatment coordinators when neededAddress performance concerns with patient coordinators as need.Responsible for new employee orientation and training in the officeTrain and update patient coordinators and new employees on policy changes and new hire training including HIPPA, OSHA and Sexual Harassment.Assist w/ DV LoginUniform OrderingAdding ScheduleEnsure daily processing of Dental Exchange and NEA is completed.Track, audit and oversee daily/monthly bank deposits and petty cashOrder Business office supplies within budgeting guidelines given by Practice AdministratorCritique router slips and charts for the next business day and ensure all charts are pulled and transferred if neededOversee maintenance of charts and archive charts as neededResponsible for the Daily Dashboard and holding team accountable for completingKeep a retail product inventory log-Cross referenced with DV and order retail products as neededOrganization of incoming and outgoing mailMaintains strict compliance with Federal, State and other regulations (OSHA, WC, Dental Board, HIPPA, ADA, DOL, Company policies & procedures)Other tasks as requested by direct ManagerEducation & Experience:3 or more years of dental front desk experienceManagement experience preferredHigh School Diploma or GEDIdeal candidates will have a Bachelor's degree in Healthcare Administration or other related degreeKnowledge, Skills & Abilities:Proven track record of developing highly productive working relationshipsStrong computer skills including: Microsoft Office and Healthcare Practice Management systemsSuperior customer services skills and successful record of customer relations managementExcellent written and interpersonal communication skillsAbility to work independently and professionally in a fast past environmentAbility to handle highly sensitive and confidential information in a manner that inspires confidence and trustSuccessful record of managing multiple projects with correct prioritization and time management skillsUnderstanding of P&L processKnowledge of insurance preferred#IND7
