By helping educators describe, measure and improve their interactions and relationships with students, Teachstone is transforming education nationwide, one interaction at a time.Role Overview:Teachstone is looking for a creative and organized collaborator to join the Observation Services team as a Project Coordinator. You are someone who possesses excellent customer service and people skills, a high attention to detail, and enjoys working in a fast-paced, team-oriented environment. Daily responsibilities include managing email communication, supporting client outreach, coordinating with observers on both CLASS protocols and project logistics, as well as data collection. This role may require up to 50% travel.Role Responsibilities:Observer support and communication Develop protocols for observersWork closely with subcontracted CLASS observers assigned to specific observation projectsOnboard subcontracted CLASS observers to specific projectsProvide CLASS reliability and calibration support to project specific CLASS observersUnderstand and enforce project protocols to ensure the observers are meeting client expectationsFacilitate weekly observer meetingsReview and audit of observations submitted into the data system by observers to ensure scoresheets are complete with evidence and according to protocolReview and approve observer invoicesIdentify recruitment needs and work closely with Observation Services Manager to ensure internal and external selection of qualified candidates and trainingProvide scheduling support as necessary for assigned enterprise, video, or other live observation projectsCoordinate the scheduling and rescheduling of classroom observations by remote field staff through the use of email communication tools, survey software and Google office software, as needed to support logistics and staffingAssist Project Teams with day-of site communicationsCommunicate directly with clients and school staff when scheduling changes occur, as needed by project Manage multiple Salesforce case queues and related communications, email queues, phone calls, and morning supportWork closely with project team and client sites to ensure scheduling communication is accurateMaintain clear records of all scheduling changesDevelop and support strong working relationships with remote field staff and clientsReview and analyze observation, observer, and client feedback data as needed to drive continuous improvement of observations and servicesWork closely with the other team members to ensure Teachstone internal protocols are being metDevelop and support strong working relationships with clients and other project managersSupport the project team in tracking the details of all observationsDocument efficiencies for management of observation services projectsSupport with CLASS feedback audits as neededOther duties as assigned Role Qualifications:Bachelor’s degree or an equivalent combination of education and experienceStrong Knowledge of and experience with the CLASS methodology requiredExcellent Excel and Google Sheet Skills Fluency in English required, Spanish fluency a plusExcellent interpersonal skills including a professional and diplomatic demeanorExcellent communication skills including written, verbal and listeningProficient using standard Google office software such as Gmail, Google docs, sheets and presentationsAbility to prioritize and manage competing priorities and changing expectationsEnjoy working in a highly collaborative, fast-paced, team-based environmentThink at both a big-picture and detailed levelExperience with Learning Management Systems (i.e Canvas) a plusComfortable working in person, in the cloud, etc. Role Preferred Qualifications:CLASS certification in Pre-K, Infant & Toddler toolsCLASS Train the Trainer (TTT) certificationCurrent CLASS certification in multiple age levelsMultilingualWorking knowledge of Salesforce and Timesheet MobileExperience with Pandadoc, Asana, and Toggl What We Offer:Fair, Competitive Pay: We ensure equal pay for equal work, using consistent salary bands based on market benchmarks, reviewed annually.
