Northeast Ohio College Preparatory School is part of ACCEL Schools, an established network of public charter schools serving K-12 students throughout the United States since 2014.About the Opportunity:The School Office Manager reports to and works collaboratively with the Principal to receive inquiries about the school, maintain accurate student records, assist with human resource needs, and fulfill all clerical needs. All duties are carried out in full compliance with Federal Educational Records Privacy Act (FERPA) regulations.The School Office Manager will:Work with school leadership to meet goals, create a welcoming and team-oriented atmosphere, and build an open and honest culture in line with company values.Manage school-wide phone, email, and in-person communications including:Answer phonesGreet/direct visitors and students arriving at the officeImplement registration, badging and visiting procedures for parents and guestsHelp create and distribute school newsletters, surveys, and other notificationsAssist with school events such as Parent Orientation, Open House, school outings, and field tripsEnsure a clean and welcoming environment is maintainedSupport student enrollment goal and retention processes including:Participate in information sessionsProduce welcome packets and mailersConduct tours and student/parent orientationsInput student and staff data into the appropriate systemsRequest and obtain records for newly enrolled studentsAchieve compliance with all federal, state, local and school student record-keeping requirements such as to:Ensure 100% on-time and complete daily attendance submissionsComplete all required steps of the truancy processProcess student withdrawalsPrepare and maintain transcriptsFulfill records requests within policy guidelinesEstablish and maintain student cumulative files and other records securely and confidentially per federal, state and local regulationsParticipate in annual student record auditsPerform administrative support functions such as:Preparing reportsFilingProcessing incoming and outgoing mail and packagesCoordinating meetings and eventsMaintaining calendarsMaintain appropriate levels of office supplies and other material inventoryLog and report issues pertaining to office equipment, technology, custodial, and facilitiesMaintain up-to date transportation logs and coordinate with transportation officer and vendor as neededMaintain meal count lists and communicate monthly food calendarsEnsure timely and accurate completion of human resource processes including:I-9 verification for new hiresWeekly time & attendance submissions for 100% of staffOffboardingActively participate in school staff meetings, committee meetings and professional development eventsPerform other duties as assignedAbout You:Associate's degree: Bachelor's degree preferredMinimum two (2) years' office management experienceHigh proficiency in Microsoft Office products (Excel, Word, Outlook, PowerPoint)Experience learning and mastering new computer programsHigh quality written and verbal communication skillsExcellent organization and time management skillsAbility to work independently and contribute to a teamProfessional, punctual and self-motivatedUnderstanding and ability to manage confidential informationAbility to lift 25 lbs.Ability to pass federal and state criminal background checks (FBI/BCI)Experience working in an education setting preferredAbout Us"We believe that every child should be able to be anything they want in life, regardless of their birthplace and circumstances." – Ron Packard, CEO & FounderACCEL Schools is a network of 80+ high-performing, public charter schools serving PK-12 students.
