Company DescriptionBusy, fast-paced family office based in Birmingham, MI, supporting two principals who are highly engaged on corporate and community boards and who travel frequently. The office is growing and structured to support both professional and household needs: two Senior Executive Assistants (each aligned to a principal), two Junior EAs, and a household support team that includes a chef, nanny, property manager, and housekeepers. The family office manages philanthropic activity through a family foundation and requires a highly responsive, discreet administrative team that can operate across personal, household and professional domains.Role DescriptionFull-time, on-site Senior Executive Assistant reporting to a Principal in Birmingham, MI. The Senior Executive Assistant will provide high-level, proactive administrative and operational support across executive, household, and philanthropic activities. This is a hands-on role that requires exceptional calendar and inbox management (G Suite), heavy travel planning experience (including private aviation), strong judgment, confidentiality and the flexibility to wear many hats in a dynamic environment.KEY RESPONSIBILITIESManage complex, shifting executive calendars across multiple time zones (G Suite); proactively prioritize and resolve conflicts.Own executive inboxes: triage, draft and route high-volume confidential email, and maintain timely responses.Plan, coordinate and execute door-to-door luxury travel (commercial and private aircraft), including itineraries, ground logistics, visas, security and contingency planning.Coordinate and support Board and foundation activities: prepare materials, manage scheduling, track action items, and liaise with board members and external counsel/advisors.Oversee household staff schedules and coordinate with household manager to ensure alignment between household and principal calendars.Prepare and maintain expense reports; track budgets related to travel, events and household operations; liaise with finance for reconciliation.Organize meetings and high-touch events (internal, external and philanthropic), including venue sourcing, catering, guest logistics and on-site coordination.Maintain confidential records, files, and sensitive documentation with the highest discretion.Identify and implement process improvements to increase office efficiency; serve as a primary point of contact for vendors, advisors and key stakeholders.Provide ad hoc personal support tasks and run occasional errands as required.REQUIRED QUALIFICATIONS5+ years supporting C-suite executives, UHNW individuals or principals in a family office environment. Proven track record managing exceptionally complex calendars and high-volume executive inboxes (G Suite expertise required).Demonstrated experience planning end-to-end luxury travel, including private aviation logistics and VIP ground arrangements.Strong written and verbal communication skills; professional presence when interacting with board members, advisors and external partners.Solid financial literacy: experience with expense reporting, basic budgeting and vendor invoicing.Excellent organizational, prioritization, and time-management skills with strong attention to detail.Proven discretion handling confidential and sensitive information.Comfortable adapting to rapidly changing priorities and wearing multiple operational hats.Proficient with Google Workspace, Microsoft Office, and common collaboration tools.Bachelor’s degree is preferred but not required.PREFERRED / HIGHLY VALUED EXPERIENCEPrior exposure to nonprofit/foundation governance and Board meeting preparation.Experience coordinating household staff and private household operations.Background working with high-net-worth families or in family office settings.Familiarity with security, executive protection logistics and high-net-worth travel risk planning.ATTRIBUTESProactive problem-solver and anticipatory planner.Discreet, trustworthy and resourceful.Calm under pressure; flexible and service-oriented.Strong interpersonal skills; able to build rapport across internal teams and external partners.WORKING CONDITIONS & COMPENSATIONFull-time, on-site role in Birmingham, MI.
