REGISTRAR – HIGH SCHOOL (Level I) Purpose Statement: The job of Registrar at the high school level is done for the purpose/s of maintaining students' academic records, master schedule, and processing accurate diploma and final transcript records. The registrar oversees the enrollment process for new students, gathering all required information, while also coordinating class schedules and resolving scheduling conflicts. Performs a variety of clerical and secretarial functions in the processing of student records. Responsible for computer input and retrieval and must make a variety of decisions within a framework of established procedures. Tasks are related to maintaining student records at the campus level and processing student enrollment, transfers, and withdrawals for the campus. This job reports to the building Principal with reporting function to Assistant Principals and Counselors Essential Functions Maintain student records through use of the computer system, including but not limited to grades, credits, transcripts, schedules, tags, enrollment information, basic student information, withdrawal information and dropout data. Ensures and validates graduation requirements for final transcripts and diplomas in coordination with counselors and administration. Establishes, maintains, retrieves, distributes and archives student CUM files consistent with state and district policies and procedures. Maintains on-line data and records as required. Takes the initiative to implement and/or develop and maintain necessary forms to respond to the needs of the office. Works with the master schedule, including computer input of forecast data, changes, final schedules, and interpretation. Creates and print reports that retrieve data from the computer. Prints student schedules, class lists, report cards, transcripts, mailing labels, master schedule reports, etc. Maintains high school data for the District Office, annual state reporting, and school administrative teams. Transfers records between schools for incoming and outgoing students. Directs the work of other staff/student assistants as assigned. Provides secretarial and clerical assistance to administrators and co-workers as time and need permit. Cultivates and models a respectful working and learning environment. Employee may be required to interact with students, staff, and families who are emotionally upset, angry or distraught. In such interactions, employee must be able to maintain control, decorum and professionalism. Other Functions Performs other related duties, as assigned, for the purpose of ensuring the efficient and effective functioning of the work unit. Skills, Knowledge and Abilities SKILLS are required to perform multiple, technical tasks with a need to occasionally upgrade skills in order to meet changing job conditions. Specific skills required to satisfactorily perform the functions of the job include: operating standard office equipment; following procedures as applicable and; preparing and maintaining accurate records; using pertinent software applications specific to job/department. KNOWLEDGE is required to perform intermediate math, including calculations using fractions, percent, and/or ratios; understand written procedures, write routine documents, and speak clearly; and solve practical problems. Specific knowledge required to satisfactorily perform the functions of the job includes: business telephone etiquette; computer and internet operations; and federal, state and local policies, procedures and practices specific to job/department including working knowledge of board policies, enrollment and withdrawal procedures. ABILITY is required to schedule activities; gather and/or collate data; and use basic, job-related equipment. Flexibility is required to work with others; work with data utilizing defined and similar processes; and operate equipment using defined methods. Ability is also required to work with a wide diversity of individuals; work with similar types of data; and utilize specific, job-related equipment. In working with others, some problem solving may be required to identify issues and select action plans. Problem solving with data requires independent interpretation of guidelines; and problem solving with equipment is limited. Minimum Education: High School Diploma or equivalent Experience: Two to four years of experience specific to the position preferably in a high school environment.
