About the Role: Executive Assistant to the Front Office The Executive Assistant is responsible for supporting the IRI Executive Team. In this role, the individual is responsible for supporting the needs of the Executive Office (Front Office) to ensure an organized and productive work environment. The Executive Assistant is responsible for proactively supporting the needs of the Executive Team, including managing requests and calendar schedules, taking action on tasks, and providing meeting and event support. This position is located in Washington, DC. The Executive Assistant is expected to work in-office at least four days per week. Key Responsibilities:Calendar and Logistics Management: Coordinates and maintains Executive Team's calendars, including scheduling and arranging appointments, phone calls, meetings, meals, and conferences, and proactively address any scheduling conflicts Manages logistics for executives' participation in IRI internal and external events Arranges and supports travel for the Executive Team Assembles meeting and travel background materials by coordinating with relevant staff and reviewing for accuracy Conducts research and prepares briefs and background materials for meetings and engagements Liaising and Representation: Coordinates and supports the Executive Team's involvement in events Coordinates and provides support for select IRI meetings Supports the Executive Team and the IRI Board of Directors on Board-related meetings and tasks Facilitates smooth office operations by serving as a resource for the Executive Team and staff and liaises with all levels of employees on behalf of the Executive Team Coordinates logistics and protocol for meeting room set ups for VIP meetings (with board members, delegations, government officials) Welcomes guests by greeting them, in person or on the telephone, answering or directing inquiries Supports IRI events as needed Executive Task Support: Drafts, edits, and routes correspondence, letters and documents; collects and analyzes information; initiates telecommunications; prepares presentation materials for both executives Processes reconciliations and expense reports for the Executive Team Reviews and tracks official requests and documents for approval and signature by the executive Ensure compliance with relevant Institute policies and procedures Proactively assists with problem identification and solutions for institute-wide challenges Maintains employee confidence and protects operations by keeping information confidential Secures information by completing database backups and updating filing system Supports and coordinates organizational initiatives and special projects initiated and/or led by the Front Office Coordinates the preparation of IRI All-Staff Meetings by scheduling presentations, announcements, and meeting set-up Assists with IRI office management as needed Performs other duties as assigned Note: This post is not an exhaustive list of all responsibilities, duties, or skills required in this role. What We're Looking For:We seek a passionate and experienced individual with: Undergraduate degree Minimum 5 years of experience supporting executives and senior leaders Minimum 5 years of experience organizing and supporting meetings and events Strong verbal and written communication skills, with ability to draft, proofread and format documents Self-directed with the ability to work with little supervision and collaborate as a team player Excellent organizational skills and ability to work under pressure and with tight deadlines Individual will have the ability to work well with all levels of internal management and staff Professionalism, confidentiality, initiative and sound judgment are essential Ideal candidate will have appropriate political acumen to assist in prioritization of tasks given unique nature of Executive level interactions IRI Total Compensation:The anticipated compensation range for this position is $80,000 to $90,000 USD. The salary for this position is determined based on a wide variety of factors including but not limited to an individual's professional experience, qualifications, education and other business needs along with internal equity considerations. Employees are not typically hired at the top of the range for their role and compensation decisions are made based on the aforementioned considerations.
