We are seeking a Human Resources and Office Manager with a heart and passion to help immigrants and a desire to thrive in a large, team-oriented immigration practice. This role will provide day-to-day leadership and oversight of the firm's human resources and office administration functions with a focus on payroll, benefits administration, leave management, team member relations, performance management, office operations, facilities coordination, and administrative staff supervision. This position is fully onsite (typically from 8am-5pm) and based in our office in Indianapolis, Indiana.Responsibilities and DutiesAdministrative Team LeadershipDirectly supervise the firm's administrative support staff including mail, filing, and records management.Provide leadership, coaching, accountability, and professional development to direct reports;Establish, monitor, and improve departmental KPIs, workflows, and performance standards;Conduct regular one-on-one meetings, performance evaluations, and performance management activities with direct reports;Analyze workloads, staffing needs, and operational processes and provide recommendations for improvement;Human Resources AdministrationServe as the primary day-to-day point of contact for team members and managers regarding human resources matters and office operations;Administer the firm's human resources functions, including payroll, benefits administration, leave administration, personnel records management, and policy implementation;Administer team member benefits, 401(k), workers' compensation, unemployment matters, and related vendor relationships;Maintain personnel records and ensure compliance with applicable federal, state, and local employment laws and regulations;Oversee administrative aspects of the team member lifecycle, including personnel changes, records maintenance, and compliance activities;Serve as the primary administrator for Paylocity, Deel, and other assigned human resources systems;Team Member Relations and Performance ManagementPartner with managers to address team member performance concerns, accountability issues, corrective action, and team member relations matters;Consult with supervisors regarding performance management, coaching, and termination-related matters;Escalate complex team member relations matters and sensitive human resources issues to the Chief Administrative Officer as appropriate;Assist with performance review processes, goal tracking, and related documentation;Administrative Operations and Process ImprovementDevelop, document, implement, and maintain administrative and human resources processes, workflows, and standard operating procedures in partnership with the Chief Administrative Officer;Lead initiatives to improve office organization, filing systems, records management, and document retention practices;Identify opportunities to automate processes, leverage technology, improve efficiency, and strengthen accountability;Coordinate office operations, facilities-related matters, vendors, and administrative services as assigned.Strategic Partnership and CompliancePartner closely with the Chief Administrative Officer on organizational initiatives, workforce planning, policy development, and strategic human resources decisions;Assist with audits, regulatory filings, insurance renewals, compliance activities, and other administrative projects as assigned;Prepare reports, metrics, and data to support leadership decision-making and organizational planning;Support firm leadership with special projects, operational initiatives, and continuous improvement efforts.Qualifications and SkillsBachelor's degree in HR, Business Administration, Management, or a related field preferred (or equivalent combination of education and experience).Minimum of five (5) years of progressively responsible experience in human resources, office management, administrative operations, or a related field.Proficiency in Microsoft Office Suite and the aptitude to quickly learn and effectively utilize new technology platforms.Prior experience supervising team members and holding team members accountable to performance expectations and operational goals.Demonstrated ability to handle sensitive and confidential information with professionalism and discretion.Demonstrated successful experience with the duties listed in our job description.Solid ability to manage multiple priorities simultaneously.Strong attention to detail and commitment to accuracy.Above-average verbal and written communication skills with the ability to effectively communicate with team members at all levels of the organization.Adept at interacting with clients and team members from diverse cultures and backgrounds in a professional, respectful, and welcoming manner.Company BenefitsSmartDollar Financial Wellness and Planning Program120 hours PTO (prorated) in year 1 + 8 paid holidaysMedical, Dental, Vision insurance through Anthem (75% employer contribution)LTD and life insurance through Principal (100% employer-paid)American Funds 401(k) with up to 4% employer matchPlease respond with a resume for immediate consideration.
