Data Operations Specialist (Healthcare Billing)

Description This is an entry-level, operational role supporting medical billing functions within the Data Operations & Billing Department. This position is based in Tampa, Florida, and follows a hybrid work model. Candidates must reside within the Tampa Bay area, as in-office training and ongoing collaboration are required. Initial training will be conducted on-site, with the opportunity for partial remote work (2-3 days per week) following successful completion of training. Summary The Data Operations Specialist is responsible for receiving, reviewing, and uploading demographic and charge data files from hospitals and clients into the billing system. This role ensures that patient and billing information is accurate and properly assigned to the correct practice and service location. The position requires strong attention to detail and familiarity with medical billing processes. Primary Responsibilities Upload demographic and charge data files received from hospitals and clients into the billing system. Review incoming files for completeness and accuracy before processing. Run and review system reports to identify potential errors or missing information. Research and correct data discrepancies as needed. Communicate with hospital contacts to obtain missing files or demographic/charge details. Maintain department processing logs and documentation. Report missing files, trends, or process concerns to leadership. Assist with maintaining department policies and procedures. Other related duties, as assigned. Position Type/Expected Hours of Work Non-exempt; Full-time, 40-hour/week. Remote work may be approved/declined based on operational necessity and performance. Work model: Initial training: 100% onsite in Tampa, Post-training: 2-3 days remote, remaining days onsite. Training and Onboarding Employees are required to work in the office 100% of the time during training and the initial 90-day probationary period to ensure proper onboarding, supervision, and familiarity with department processes. The training period may extend beyond the 90-day probationary period if additional time is needed to achieve proficiency in the role. After successfully completing the probationary period and training requirements, employees may become eligible for the hybrid work schedule described above. Requirements Knowledge of Microsoft Office Products, Pivot Tables, Macros, Notepad++, data mining, and spreadsheet applications. Ability to work both independently and as a team member.
