Administrative Assistant To The School PrincipalNorth Canaan Elementary School is seeking a highly organized, detail-oriented, and professional Administrative Assistant to the School Principal. This key role serves as the central hub of school operations, providing high-level administrative support to the Principal and ensuring the smooth day-to-day functioning of the school. The Administrative Assistant plays a critical role in managing student information systems, supporting budgeting processes, overseeing attendance reporting, coordinating office operations, and planning major school events. This position requires sound judgment, discretion, and the ability to manage multiple priorities in a fast-paced, collaborative environment.Key ResponsibilitiesSchool Operations & AdministrationOversee daily operations of the main office to ensure efficiency and exceptional customer serviceSupervise and coordinate office staff and workflowsSupport budgeting and financial processes in collaboration with the Principal and district administrationOrder and manage office supplies, equipment, and general office needsCoordinate building use and maintain related documentationManage vehicle records and community use of school facilitiesAttendance, Records & ComplianceCoordinate and submit required state and district attendance and enrollment reportsMaintain accurate student records in compliance with federal, state, and district regulationsTrack and process staff attendance, time slips, and payroll documentationEnsure strict confidentiality of all student, personnel, and school recordsData & Systems ManagementManage and maintain the Student Information System (SIS), including enrollment, scheduling, grade storage and report cardsEnsure accuracy and integrity of all school data systemsProvide support and troubleshooting assistance to staffScheduling & CommunicationsManage the Principal's calendar, including meetings, appointments, and eventsCoordinate the school-wide annual calendarServe as a liaison between the Principal and students, families, staff, community members, and local media (as directed)Student Programs & SupportMaintain accurate and confidential program recordsCoordinate and schedule Kindergarten Registration EventsCoordinate logistics for major school events (e.g., graduation, Trimester Celebrations, assemblies)Collaborate with faculty advisors and district leadership to ensure successful event executionTeam CollaborationParticipate in cross-training and provide coverage for other administrative support staff as neededMaintain a collaborative, team-oriented approach to school operationsAttend relevant professional development and trainingQualificationsEducation & ExperienceHigh school diploma required; Associate's or Bachelor's degree preferredMinimum of three (3) years of progressively responsible administrative support experience, preferably in a school settingExperience with student information systems and budget management preferredSkills & AbilitiesExceptional organizational and time-management skillsStrong attention to detail and ability to manage multiple prioritiesProficiency with Google Workspace and other office technologiesExperience with SIS and financial/accounting systemsStrong written and verbal communication skillsDemonstrated leadership and supervisory abilitiesAbility to exercise sound judgment and maintain confidentialityPhysical RequirementsAbility to work in an office setting with extended periods of sittingAbility to move throughout the building as neededAbility to lift up to 20 poundsTerms of EmploymentThis position is part of the AFSCME Local 1303-269 bargaining unit.
