We believe in a high-performing, supportive environment where creative thinking and operational excellence meet.Location: United States (ideally Los Angeles or New York; remote-flexible)Reports to: Senior Payroll ManagerPosition OverviewAs a Payroll Coordinator at Everyset, you will manage the day-to-day payroll experience for our clients and internal stakeholders, helping ensure accurate, timely, and compliant payroll processing across productions. You’ll serve as a key partner to clients, production teams, and internal departments, supporting onboarding, issue resolution, and ongoing operational success. This role requires exceptional attention to detail, strong communication skills, payroll accuracy, and the ability to quickly learn and adapt to new tools and workflows.You will work cross-functionally with Operations, Product, Sales, Finance, and Legal to deliver a seamless customer experience while helping improve retention, satisfaction, and long-term account growth.Key ObjectivesOnboard & Enable: Guide new clients through implementation, training, and go-live.Drive Adoption: Increase platform utilization, feature engagement, and user satisfaction.Payroll Accuracy: Ensure payroll is processed accurately and efficiently, with strong attention to compliance and detail.Retention & Expansion: Support high renewal rates and identify upsell or cross-sell opportunities.Advocacy & Feedback: Serve as the voice of the customer and surface insights to Product and Engineering.Core Responsibilities Customer Onboarding & ImplementationLead end-to-end implementation projects, including kickoff, configuration, training, data migration, and go-live.Develop and deliver tailored onboarding materials (e.g., playbooks, webinars, quick-start guides).Ensure a seamless handoff from Sales to Operations for ongoing client support.2. Payroll Coordination & AccuracySupport payroll operations with a high degree of accuracy and attention to detail.Review payroll inputs, timecards, vouchers, and production data to ensure timely and correct processing.Proactively identify discrepancies and coordinate resolution with internal and external stakeholders.Maintain compliance with applicable payroll processes, deadlines, and documentation requirements.3. Relationship ManagementServe as the primary point of contact for a portfolio of strategic accounts (studios, agencies, production partners).Schedule regular business reviews to track KPIs (e.g., timecard submission rates, voucher adoption, operational efficiency).Proactively identify and resolve issues before they impact production timelines or budgets.4. Adoption & Success PlanningBuild success plans with clear milestones and health metrics for each customer.Monitor usage data and engagement trends, and deliver targeted outreach to drive feature adoption.Coordinate with Marketing on training events, user groups, and educational content to strengthen engagement.5. Retention, Renewals & UpsellPartner with Sales to support contract renewals and minimize churn.Identify and qualify expansion opportunities (e.g., additional modules, seat increases, managed services).Prepare ROI analyses and business cases demonstrating Everyset’s impact on efficiency, cost savings, and compliance.6. Voice of the CustomerCapture customer feedback, feature requests, and pain points, sharing insights through regular internal reporting.Collaborate with Product to prioritize roadmap items and improve the user experience.Support customer advocacy programs (e.g., case studies, reference calls, advisory councils).7. Cross-Functional CollaborationWork closely with Operations to support flawless live-production payroll and customer operations.Partner with Finance and Legal on billing, contract questions, and compliance matters.Liaise with Marketing to help create thought-leadership content and share success stories.QualificationsExperience: 5+ years working at a payroll company as a paymaster.Track Record: Proven success driving retention, upsell and customer satisfaction (NPS/CSAT).Industry Knowledge: Familiarity with film/TV production workflows, payroll or background-talent management is a strong plus.Skills:Exceptional communication and presentation abilitiesStrong project-management and organizational disciplineData-driven mindset with comfort analyzing usage metricsAbility to influence senior stakeholders and build consensusAI Proficiency:AI proficiency is a plus. Candidates should have familiarity with tools such as Claude or Chat GPT. During the interview process, candidates may be asked how they use AI in their daily work, workflows, or projects they have created using AI tools.Education: Bachelor’s degree Location: U.S. based; LA preferred for close collaboration with studios and agencies.This position is based in the United States.
