Summary
Service Writer roles and responsibilities for service department
Essential Duties and Responsibilities
Maintain service department phones
Obtain miles, hours, and any other meter tracked information for each machine on a repair order
Ascertain immediate course of action by listening to customers’ description of symptoms.
Prepare repair orders by describing symptoms, problems, and causes discovered, as well as repairs and services required
Obtain approval signatures where required
Initial entry of RO into service database system.
Maintain contact with customers by explaining estimates, providing status updates to customers, and ETAs of job completion via phone and email.
Take information gathered from shop and field technicians to populate service databases and, when necessary, ask questions where discrepancies exist in order to provide a full and complete story in the service database systems
Provide final invoicing to customers and other departments along with any required accompanying documentation in a thorough and professional manner
Maintain payroll systems and verify accuracy of payroll for billable hourly technicians.
Maintain any status tracking systems for repairs used by the service department
Any job duties delegated by management
Essential Skills
Knowledge: Mobile Cranes or heavy equipment and their transport equipment including designs, uses, repair and maintenance. Karmak systems.
Skills: Monitoring system operations and identifying out-of-parameter deliveries. Review problems and associated information, develop and implement corrective actions.
Abilities: To learn and utilize various systems for technician management. Karmak experience preferred.
Certifications and Education:
High School Diploma or GED
Valid state Drivers’ License (may be required to pick-up and/or deliver parts)
Language Skills
Must be able to read and comprehend simple instructions, short correspondence and memos and the ability to write simple correspondence. Ability to effectively present information in one-on-one and small group situations to other employees of the organization and customers.
