Office Administrator/Bookkeeper

Job Description Opportunity Stanislaus is assisting Safe Drain in recruiting an Office Administrator/Bookkeeper.Position OverviewSafe Drain is seeking a reliable and detail-oriented Office Administrator & Bookkeeper to manage day-to-day financial operations while providing administrative support across the organization.This role is ideal for someone who enjoys maintaining order in a fast-moving environment and takes pride in accurate financial recordkeeping and organized office systems.The successful candidate will manage bookkeeping in QuickBooks, assist with payroll preparation, coordinate with the company CPA, and help maintain efficient office operations that support both our sales and production teams.Key ResponsibilitiesFinancial & Bookkeeping:• Perform daily bookkeeping and financial recordkeeping using QuickBooks• Manage accounts payable and accounts receivable• Reconcile accounts and maintain accurate financial records• Generate and track invoices, payments, and expenses• Maintain vendor and customer financial records• Assist with payroll preparation and coordination• Coordinate with the company CPA for tax preparation, audits, and financial reportingAdministrative & Office Operations:• Maintain organized office files, documentation, and internal records• Answer phones and manage incoming communications• Assist management with scheduling, documentation, and administrative support• Support sales and production teams with administrative coordination• Help maintain internal systems that support daily operationsProduction & Operations Coordination:• Interface with production staff and sales personnel to ensure proper documentation and tracking• Assist with order tracking, vendor documentation, and operational recordkeeping when neededQualificationsRequired• Minimum 2 years of experience in bookkeeping, accounting, or office administration• Hands-on experience with QuickBooks (accounts payable, accounts receivable, reconciliations, invoicing)• Strong attention to detail and organizational skills• Ability to manage multiple responsibilities independently• Professional communication and reliable work habits• Basic computer proficiency including Microsoft Office or Google Workspace and spreadsheet usePreferred• Experience supporting manufacturing, fabrication, or industrial environments• Familiarity with sheet metal fabrication, machining, or production workflows• Experience working with operational or production tracking systems
