Position SummaryWe are seeking a detail oriented and organized professional to support our client's title and closing operations. This role is responsible for managing file progression from processing through closing, including gathering required documentation, coordinating with buyers, sellers, lenders, and realtors, and ensuring all closing requirements are met accurately and on time.The ideal candidate will have experience in the title, settlement, or mortgage industry, with the ability to interpret title work, manage multiple files in a fast-paced environment, and communicate effectively with internal teams and external partners. This position plays a critical role in ensuring smooth, compliant, and efficient closings while providing administrative and operational support as needed.Key ResponsibilitiesReviews files after letters have been sentGathers all information from sellers/buyers and orders the necessary documents for closingCoordinates closing dates/times with all parties involved including lendersCoordinates with realtors to confirm commissions, admin fees, and termite inspectionsOrders homeowner’s association informationOrders payoff informationOrders insured closing letterConfirms taxes with county/townFaxes binders, taxes, insured closing letters, termite, survey and wiring instructions to lendersHandles any subordination requestsCommunicates problems to processing teamAssists Processors with filing, case notes, and e-mail/voicemail messagesCopies raw title for underwriterNotes any outstanding paperwork or issues on filesMay assist with opening case files in QualiaServes as backup to Receptionist for phones, front desk coverage, and general administrative support for officeQualifications & ExperienceHigh School diploma required/Associates degree or college work preferredMinimum of three years of relevant work experience in the title/settlement/mortgage or other related industryMust be comfortable interpreting raw title work from abstractorQualia software proficiency strongly preferredExceptional attention to detail and organizational skillsStrong written and verbal communication skillsAbility to manage deadlines in a fast-paced environmentFluency in Spanish is desirableWork Environment & Physical RequirementsProfessional office environment with moderate noise levelsRegular use of computer, phone, printer, copier, and office softwareOccasional standing, walking, lifting up to 10 poundsExtended periods of close computer and document work
